The Green Bay Area Public School District is seeking a Bilingual Administrative Assistant I interested in joining our knowledgable and collaborative staff at the District Office Building. The purpose of this position is to assist families, community members, and staff at the District’s main office building's front desk. Applicants must be able to pass the District's Spanish Bilingual Testing in order to qualify for the position. This position will work 8:00 a.m. - 4:00 p.m., Monday through Friday, 12 months of the year. Essential Functions:

8. Has a clear understanding of all major District departments including the personnel assigned, major responsibilities of each department, etc., to be helpful in directing visitors and callers to the appropriate department and/or person.
9. Perform receptionist duties for the building to ascertain the nature of the visitor’s business in a positive and pleasant manner in order to guide visitors to the department and/or person who would handle the visitor’s specific concern(s) or question(s).
10. Manages package deliveries for the District Office Buildings; both incoming and outgoing.
11. Manages visitors entering the building.
12. Assists in interpreting and translating as needed.
13. Provides directions to specific school sites.
14. Understands District policies and procedures well enough to explain them to vendors, callers, and other visitors and at the same time is discreet about what information to release.
15. Maintains an up-to-date telephone directory for all District personnel.
16. Answers incoming telephone calls, transfer calls, answer inquiries, record and deliver messages, place outgoing local and long-distance calls, screen calls as directed by the supervisor, and maintain a file of frequently called numbers.
17. Open incoming mail, sort contents, and distribute.
18. Prepares, updates, and checks mailing lists.
19. Processes outgoing mail.
20. Performs all other duties as assigned by Supervisor.

Qualifications Required:
Education:
- High School Diploma
Experience
- Excellent grammar, editing and proofreading skills in both English and Spanish
- Demonstrated proficiency on the District Spanish-Bilingual Clerical assessment; Fluency in oral and written communication in English and Spanish.
- Ability to exercise appropriate independent judgment while handling multiple tasks
- Proficiency in areas such as: punctuation, arithmetic, grammar, proofreading, spelling, filing, typing, word processing, and spreadsheets
- Excellent organizational and customer service skills

- Associates Degree – Administrative Assistant or related study

- Three (3) years in office environment
