WAGE: $17.91 - $24.42
TERM/SCHEDULE: FULL TIME, 12 MONTH
QUALIFICATIONS
- High School diploma or equivalent required
- Post-secondary education in a related field preferred, but not required
- 2 years of experience in an office environment
- Above average computer skills specifically in Microsoft Office and Google Suite
- Demonstrated above average customer service skills
- Ability to prioritize and work both independently and as part of a collaborative team
- Exceptional interpersonal skills along with strong oral/written communication skills
- Attention to detail with the ability to maintain a high level of accuracy
- Ability to deal with sensitive information with discretion and to maintain confidentiality
- Ability to operate a variety of office equipment including printers, scanners, fax machines
- Flexible, open to change and improved processes to enhance efficiency
JOB SUMMARY
The HR Administrative Assistant will perform administrative support related to the day to day operations of the human resource office.
ESSENTIAL JOB FUNCTIONS include the following. Other duties may be assigned.
- Commits to the District’s Mission and Vision
- Promotes and demonstrates in words and actions a positive culture aligned with the district's core values
- Provides support to the HR Director and Generalist in all aspects of operating the human resources office
- Provides consistent, timely and above average customer service to all levels of staff and other applicable stakeholders
- Creates personnel files for all new hires and maintains such files
- Files applicable documents in personnel /medical files
- Completes all employee criminal background checks in a timely fashion
- Maintains all aspects of the Frontline Absence Management system regarding substitutes including, but not limited to: creating the employee profile, training subs on how to use the system, entering new substitutes and terming those no longer employed, etc.
- Secures and assigns substitutes (teacher, aides, clerical, custodial) on a daily basis and for long term assignments
- Works collaboratively with the building secretaries and principals in securing and assigning substitutes
- Issues, maintains and tracks evaluation cycle of all paraprofessionals, clerical staff and custodial/maintenance staff
- Assists HR Generalist with scheduling candidates for interviews, verifies participation of panel members on interview teams, prepares interview packets, and processes all documentation needed for interviews
- Maintains accurate records applicable to traveling teachers for payment of stipends
- Ensures all applicable staff have completed the required employee training modules within SafeSchool including sending out notifications and reminders, tracking completion, etc.
- Maintains records of all district volunteers including processing background checks
- Maintains the district’s standards relative to the confidentiality of information about staff, students, job applicants, etc.
- Works collaboratively with the HR Generalist and Athletic Director regarding the hiring of coaches to ensure that all coaches have been assigned, approved by the Board and issued agreements
- Works collaboratively with the HR Generalist and Principals regarding applicable club advisors regarding assignments, approval by the Board and issuing agreements
- Acts as the back-up to the HR Generalist position
- Oversees all aspects of Family Medical Leave Act
- Performs other tasks and assumes other responsibilities as assigned
FUNCTIONAL JOB ANALYSIS AND DESCRIPTIONS:
Language Skills – The ability to read and interpret documents such as employee handbooks and policy and procedure manuals.
Mathematical Skills – Ability to calculate figures and amounts such as percentages.
Reasoning Ability – Ability to apply common sense understanding to carry out detailed written or oral instructions as well as instructions in diagram or schedule form. Ability to deal with problems involving a variety of concrete variables in situations where only limited standardization exists.
Other Skills and Abilities – Must have excellent communication and interpersonal skills with excellent telephone etiquette. Must have advanced computer skills to perform the essential job functions and have the ability to learn and utilize new software programs as systems are upgraded. Typing is required with good grammatical spelling and punctuation. Ability to communicate clearly and concisely, both orally and in writing. Ability to effectively attend to multiple tasks at one time while maintaining a calm disposition. Ability to perform duties with awareness of all district requirements and Board of Education policies.
