We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Essential Duties and Responsibilities
- Greet and welcome guests as soon as they arrive
- Answer, screen and transfer incoming phone calls to appropriate person or department in a timely manner
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Assist accounting clerk with daily invoice processing including separating, sorting, and checking in daily invoices that include both phsyical and electronic copies
- Ensure all invoices have been accounted for including deliveries, will calls, and outlet locations
- Sort, fold, and mail invoices that get mailed through USPS.
- Balance cash drawers including counting the cash drawers twice daily
- Remove cash and matching the daily cash invoices to prepare for deposit and
research cash shortages or overages
- Monitor surveillance cameras daily to ensure they are on and working properly
- Manage vehicle GPS driving reports and send to management for review
Requirements
- Fluent in Spanish
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus
Minimum Education & Experience Equivalent to:
- Must be available to work flexible schedule including overtime if needed.
- Must be able to lift 50 pounds.
- Must be able to assume and maintain a variety of postures (kneeling, squatting, crawling, sitting, standing) for extended periods of time.
- Must have manual dexterity to perform specific computer and electronic device functions for data collection.
- Must have visual acuity to read and comprehend written communication through computer, electronic devices, and paper means.
- Must be able to plan and organize
- General proficiency in Microsoft Word and Excel
- Communicate, reinforce, and support the values, culture, and mission of the organization.
