Responsibilities:
- Oversee daily office operations, including scheduling, billing, and patient communication.
- Serve as the primary point of contact for clients, ensuring a welcoming and professional environment.
- Manage appointment scheduling and optimize provider calendars for efficiency.
- Coordinate billing, insurance claims, and payments with accuracy and confidentiality.
- Supervise and support administrative staff, providing training and guidance.
- Maintain office supplies, equipment, and technology.
- Develop and implement office policies to ensure compliance with HIPAA regulations and industry standards.
- Handle general HR tasks, such as onboarding new employees and maintaining personnel records.
- Troubleshoot day-to-day issues to maintain a smooth workflow.
Requirements:
- Minimum of 3 years of experience in office management, preferably in a healthcare or psychological practice.
- Strong understanding of scheduling systems, billing software, and HIPAA compliance.
- Exceptional organizational skills and attention to detail.
- Excellent communication and interpersonal skills, with a compassionate approach to client interactions.
- Ability to multitask, prioritize, and lead in a fast-paced environment.
- Proficiency in Microsoft Office and familiarity with electronic medical record systems.
- A bachelor's degree in business administration, healthcare administration, or a related field is preferred, or equal experience is required.
