Admin Assistant Needed
We are a full service general contractor and custom millwork company located in San Rafael, and are currently looking to add an Administrative Assistant to our team. This is an in-person position and will be located at our main office in San Rafael. This position is a supportive role for office operations, with tasks to expect as follows: being responsible for answering phone calls & emails, assisting with basic data entry, acting as a support for all management, managing vendor & subcontractor accounts, and processing all company paperwork. We are seeking a motivated and organized individual who works well within a team setting, and regards themselves as a self-starter. Strong work ethic, attention to detail, and highly effective communication skills are required.
Required Skills & Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree preferred
- Proven experience as an administrative assistant or similar
- Data entry experience
- Extreme attention to detail and a high level of organization
- Experience in customer service, allowing for personable engagement with clients, vendors, and trade-partners, in person, over the phone and via email
- The ability to work independently with little supervision
- Ability to problem solve, and apply oneself
- Strong ability to multitask and prioritize effectively
- Excellent communication skills
- Knowledge of and the ability to use G-Suite, Quickbooks, and other software programs
- Great time management skills and ability to work in a fast-paced environment
Responsibilities Include:
- Provide administrative support to ensure efficient operations of the office and business as a whole
- Manage scheduling, including appointments and meetings
- Handle all incoming calls, emails and other communications professionally
- Maintain filing systems and organize documents, both physical and digital
- Support team members with various tasks and special projects
- Maintain office supplies
- Serve as the point of contact for internal and external communications
- Process invoices
- Provide excellent service to clients & visitors; handle customer inquiries and complaints as needed
