We are seeking a highly organized and detail-oriented Paralegal / Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong organizational skills and a comprehensive understanding of various legal practices, including personal injury law, civil litigation, and criminal defense.
This role is essential for ensuring that our office runs smoothly and efficiently while providing excellent support to our legal team and clients.
This role handles work from associate attorneys based in other offices throughout the state in addition to working with local associates in the Panama City office, so you must be skilled with Microsoft Teams / Zoom and well versed in coordinating with remote work situations.
This role also acts as an intake expert, answering inbound calls and contacting inbound leads to ensure the cases are handled quickly and passed on to an associate if appropriate.
You'll also ensure that billing is completed and clients are charged prior to giving the associates the go-ahead to begin working on the case, then you'll file the notice of appearance and subsequent documents in accordance with our office procedures.
Duties
- Manage office operations and ensure a productive work environment.
- Oversee filing systems and maintain accurate records for case management.
- Draft shell pleadings based on internal forms and sample docs and add to file for attorney to review.
- Conduct research related to our practice areas (civil litigation, criminal defense, personal injury and business law) as needed.
- Handle phone communications with clients and stakeholders, demonstrating excellent phone etiquette.
- Assist in interviewing clients to gather necessary information for cases.
- Utilize Clio software for document management and organization.
- Coordinate schedules, appointments, and meetings for the legal team.
- Provide administrative support including drafting correspondence and preparing legal documents.
- Ensure compliance with legal regulations and office policies.
Qualifications
- Proven experience as a Paralegal and Office Manager or in a similar administrative role within a legal environment is preferred.
- Excellent research skills with the ability to analyze information effectively.
- Proficient in using Clio or similar practice management systems.
- Exceptional organizational skills with attention to detail.
- Strong interpersonal skills with the ability to communicate effectively with clients and team members.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- A proactive approach to problem-solving with strong decision-making capabilities.

Pay: $21.00 - $25.00 per hour
Expected hours: 40 per week
