About the Position:
We are seeking an Administrative Coordinator to support both administrative and financial functions. This role includes handling accounting tasks, invoicing, client onboarding, customer service, and general office operations. As the Administrative and Accounts Assistant, you will work closely with various teams to ensure smooth day-to-day office operations and support financial activities. This role requires a highly organized and detail-oriented individual with excellent communication skills.
Principal Responsibilities:
Accounting & Financial Support
- Ensure accurate processing, submission, and record-keeping of invoices and bank deposits.
- Communicate with vendors and clients about payments.
- Maintain organized financial records.
- Coordinate insurance-related tasks, such as policy renewals, claims processing, and maintaining up-to-date documentation.
Client & Customer Service
- Assist with client onboarding, ensuring a smooth transition and positive customer experience.
- Provide ongoing support to clients by addressing inquiries, resolving issues, and ensuring satisfaction with services.
- Act as the primary point of contact for customer service inquiries.
Administrative Support
- Oversee day-to-day office operations to ensure smooth administrative processes.
- Provide administrative support to senior leadership, including managing schedules, correspondence, and documentation.
- Assist with email communications and the creation and distribution of memos, letters, spreadsheets, forms, and faxes.
- Responsible for ordering office supplies, verifying bills, and processing requisitions for goods and services.
- Maintain an organized filing system, contact database, and inventory.
- Plan, organize, and schedule company meetings both in-office and off-site.
- Make travel arrangements, including booking flights, cars, hotels, and restaurant reservations as needed.
- Provide further administrative assistance as required.
Required Experience and Education:
- College degree or equivalent
- 2 years of administrative experience, office management, or in a similar role.
- Basic accounting knowledge (bill pay, invoicing, banking administration, etc.).
- Strong organizational skills with attention to detail.
- Excellent communication skills, with the ability to interact professionally with clients and vendors.
- Experience with contracts, insurance, or paralegal tasks is a strong plus.
- Proficiency in Microsoft Office and other administrative software.
- Ability to work independently and manage multiple priorities effectively.
