WORK LOCATION: New Braunfels, Texas
SUMMARY
This position is primarily responsible for the preparation and processing of vendor invoices, generation of weekly check runs, and distribution of payments; coordination with departments/divisions to timely review and approve invoices; and other related accounting responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Receive, review, and process vendor invoices and related documentation for payment.
· Prepare payments for review by supervisor or other Finance team member.
· Upon approval, post payments, generate checks, obtain check signatures where necessary, and distribute checks for mail preparation and collection.
· Upon generation of payments, submit bank payee positive pay file.
· Facilitate with departments/divisions on necessary invoice paperwork, ensure proper approval is affixed to invoices, and research outstanding invoices/items/etc.
· Coordinate with Purchasing for new vendor set up within financial system.
· Coordinate with vendors to resolve outstanding issues, review and reconcile vendor statements, and research as necessary.
· Collect receipts from employees for charge accounts and reconcile to statements. Coordinate with employees as necessary to obtain complete documentation. Research any discrepancies and communicate with vendor for resolution.
· Annually review and research vendor summary payment reports. Prepare Internal Revenue Service (IRS) form 1099s, print and distribute to vendors, and submit 1099 file to the IRS. As necessary, research nonroutine transactions that require a different 1099 reporting form.
· Preparation of GBRA W-9 and sales tax exemption certificates as needed for GBRA vendors.
· Provide notification to Accounting and Risk Management of any asset purchases to ensure proper accounting and addition to insurance coverages.
· Collaborate with Accounting team to review and research uncashed accounts payable checks. Ascertain whether reissuance is warranted.
· Perform other duties as assigned.
Requirements
KNOWLEDGE/SKILLS/ABILITIES
· Knowledge of accounts payable practices, accounting, and business administration principles.
· Proficient using Microsoft Office programs.
· Skilled in problem solving.
· Possess routine and non-routine work assignments accurately and on-time with little or no supervision.
· Ability to maintain high level of confidentiality.
· Able to exercise initiative and responsibility.
· Attention to detail and accuracy; ability to meet deadlines.
· Demonstrate outstanding customer service and telephone etiquette.
· Effective communication skills both orally and written.
EDUCATION/CERTIFICATIONS
High School Diploma or GED equivalent.
Valid Texas Driver’s License with acceptable MVR.
EXPERIENCE
Three years’ experience in accounting or business-related field preferred.
