Job Summary : Guardian Angel is a fast growing family owned Home Care Company with 13 offices in MA and NH. We are looking for an Executive Assistant to provide high-level administrative support to the 2 Owners and 2 Regional Operations Directors (Strategic Team). Location is flexible based on proximity of candidate to various offices. Supervisory Responsibilities : May recruit, interview, hire, and train junior administrative staff in the department as it grows. Duties / Responsibilities : Provides high-level administrative support and assistance to the Strategic Team. Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents. Drafts job descriptions for administrative positions, posts and monitors, screens and forwards to Strategic Team. Assists in the onboarding of new administrative staff including making IT requests, setting up phones, sending training documents, assisting with background checks and sending out company communication and benefit information. Assists in the set up of new offices. Assists in the creation of company newsletters. Reconciles Corporate Credit Cards. Reconciles monthly IT users for billing. Receives incoming task request from the Strategic Team, reviews content, determines importance and prioritizes, and summarizes and / or distributes contents to appropriate staff. Performs additional duties as assigned by Strategic Team. Prepares regular monthly statistic reports with highlights. Organizes company events. Assists in completing company applications for areas such as licensing, insurance, contract accreditations etc.. Completes Payroll for Administrative Team. Performs other related duties as assigned. Required Skills / Abilities : Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment. Understanding of urgency and prioritization. Relentless drive for finding solutions. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Able to type minimum of 50 words per minute. Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. Education and Experience : High school diploma required; Bachelor’s degree in Business Administration or related field preferred. At least four years of related experience required.
