Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks and supporting staff members. This position requires strong communication skills, proficiency in office management, and the ability to multitask effectively in a fast-paced environment.
Duties
- Oversee daily office operations, ensuring that all administrative functions run efficiently.
- Utilize Google Suite for document creation, data management, and communication among team members.
- Perform clerical tasks such as filing, data entry, and maintaining organized records.
- Provide support as a personal assistant to executives or managers when required.
- Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
- Maintain financial records using QuickBooks or similar software for invoicing and bookkeeping tasks.
- Answer and direct phone calls, respond to emails, and greet visitors.
- Coordinate with the external accountant as needed.
- Event planning and fundraising assistance.
Social Media & Communications:
- Help develop and schedule posts for social media platforms (Facebook, Instagram, LinkedIn, etc.).
- Assist in creating and distributing newsletters and updates.
- Maintain and update website content as needed.
Requirements
- Proven experience in office management or administrative roles is preferred.
- Familiarity with phone systems and excellent verbal communication skills are essential.
- Strong computer literacy with proficiency in Google Suite applications (Docs, Sheets, Calendar).
- Excellent organizational skills with attention to detail for clerical tasks.
- Ability to handle multiple tasks simultaneously while maintaining a high level of professionalism.
- A proactive attitude with the ability to work independently as well as part of a team.
