We are an independent financial advisory and investment services company located in downtown Iowa City. We are seeking an office manager responsible for the day-to-day operations of our office, assisting with client account management, and ensuring compliance with federal regulations.
QUALIFICATIONS
Required:
- Proficient computer skills: ability to complete PC/Windows-based tasks efficiently and accurately.
- Excellent oral and written communication skills.
- Strong attention to detail and organizational skills.
- Strong problem-solving and critical thinking abilities; tasks often require dynamic solutions rather than step-by-step procedures.
- Experience in an office environment, including:
- Comfort with a multi-line desktop phone system, including answering calls, taking messages, transferring calls, and assessing caller needs.
- Greeting clients professionally and warmly.
- Multi-tasking effectively, handling interruptions while working on projects.
- Maintaining client data confidentiality.
- Self-motivated: ability to manage long-term projects when there are no immediate tasks.
- Ability to pass a background check.
Desired:
- Experience with financial concepts (investments, retirement accounts, terminology, etc.).
- Office management experience (working with management and office assistants).
Job Responsibilities Include:
- Maintaining and using a CRM system.
- Preparing client forms and processing them across multiple systems.
- Completing annual online training (ethics, anti-money laundering, etc.).
- Performing light cleaning duties.
- Ordering office supplies as needed.
