Position Description
The Senior Document Control Specialist provides high-level specialized handling of documents on high-profile projects with major clients as well as supervises all aspects of the vendor data efforts on a specific project or group of projects.
Essential Functions
- Provide oversight of document control activities on projects; ensure that the quality of document control deliverables meets expected standards
- Provide oversight of vendor data activities on projects; ensure that the quality of vendor data deliverables meets expected standards
- Receives all deliverables and logs them into the document control system, initiates workflows, and creates and distributes transmittals to the clients, vendors, and project personnel
- Upload and distribute documents/drawings to Project Webpage, FTP Site, SharePoint, or Client’s EDMS System as needed
- Maintains Master Document Register logs utilizing the document control system throughout the project.
- Develop document control processes, procedures, and project specifications using project requirements
- Prepare various management and project status reports
- Works closely with the client on the status of project documents
- Ability to communicate with all levels of management, clients, and project team members to achieve project objectives
- Has a deep understanding of best practices for document control
- Ensure work is being performed within the guidelines of our company policies and procedures
Preferred Qualifications
- Aconex Experience
- 8 years of experience in Document Control in the Oil & Gas Engineering industry
- Ability to work independently
- Expert in SharePoint or other EDMS
- Excellent proficiency in Microsoft Office: Word and Excel
- Must have the ability to prioritize, manage time well, troubleshoot, and work in a fast-paced and deadline-driven environment
- Must be organized and detailed oriented with the ability to multi-task
- Excellent written and verbal communication skills
- High school diploma
- Associate degree preferred
