Administrative Support
Job Duration: This is a 1-month project with the potential for extension, based on project needs and performance.
Essential Duties and Responsibilities:
This position is responsible for the following: Other duties may be assigned.
Receiving, Filing, and tracking all quotes in the CRM system
Providing daily/weekly updates to management of what is in estimating
Providing all files associated with the estimate to the project manager when the job is awarded
Verifying and/or requoting all previously quoted items, material and services for the project manager upon job award.
Provide updates to the CRM system, including Sharepoint sites to Project Managers
Assist Project Managers and Estimators with documentation as requested. (i.e customer required submittals, Pre-contract submittals, contract required submittals.)
Assist Project Managers and Estimators with sourcing materials.
Update project schedules with progress, labor and costs using MS Project or other formats as requested
Manage Schedules of Project Managers and Estimators. (Departmental Calendars).
Ability to talk with internal and external customers in various formats. (Email, Phone, In person, TEAMS)
Ability to Multi-task on various projects at the same time.
Required Education & Experience:
High School Diploma or GED preferred.
Minimum of three - five years’ experience as Administrative/Office Assistant, preferably in Oil & Gas or Ship repair / fabrication field.
Working Conditions:
Must possess mobility to work in a standard office setting and use standard office equipment and be able to attend meetings at various sites within and away from office.
Mobility to climb up and down stairs, as needed.
Strength to lift and carry materials weighing up to 20 pounds.
Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.
Hearing and speech to communicate in person and over the telephone
Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions
Necessary Equipment Operation:
Office equipment, including telephone, fax machine, scanner, computer, printer.
Computer skills: MS Office (Outlook, Word, Excel, Power Point, etc.)
MS Project experience preferred
