Job Overview
The Human Resources Generalist in this role will provide support and administration of the day-to-day HR functions, initiatives and services. The individual will be a highly qualified, results oriented professional with a team player mentality. Will assist with all aspects of the employee life cycle from recruiting, interviewing, onboarding, HRIS data entry, e-file management, and audits. They will assist the Benefits Generalist with 401k, FMLA, and health insurance when necessary. Always greet and assist employees and visitors with an inviting demeanor and provide support to all functions of the HR office. Candidate must have a well-rounded knowledge of Human Resources functions.
Essential Duties and Responsibilities
- Handle all onboarding of new employees including paperwork, background checks, drug tests, MVR and credit reports, loading into ADP Workforce Now (WFN), coordinating with managers for start dates, creating/completing employee e-files as required by State regulations, providing all required legal notices and disclosures appropriate for the particular department/position.
- Assist with the development of onboarding plans to create an enjoyable onboarding experience to all new hires.
- Serves as the point of contact for employees and managers regarding ADP Workforce Now services, recruitment, new hires, updating job descriptions, job offers, onboarding, job postings, payroll, and policy interpretation.
- Partners with departmental managers to identify their HR needs and objectives and collaborates with the HR leadership teams to meet those objectives.
- Responsible in ensuring new hires complete all assigned Anti Money Laundering (AML) and Responsible Gaming (RGPPP) training and uploading completion certificates in employee e-files for compliance purposes.
- May assist or lead in the renewal process of state occupational licenses.
- Manage and update I-9 employment work authorization reverifications timely with an organized system. Auditing and requesting new IDs if required prior to expiration date and conducts I-9 audits as necessary.
- Responsible for the maintenance and upkeep of active and inactive I-9 binders.
- Running E-Verify as required by law and in the timeframe as required; Verifying all original IDs for Form I-9; Use appropriate legal action should an employee’s work authorization expire.
- Process employment verifications, employee address changes, occupational license information updates as needed.

- Assist in the maintenance/scanning of employee e-files on a daily basis or as needed.
- Ability to generate a series of reports in ADP Workforce Now for departmental needs.
- May conduct/assist in employee relations counseling, outplacement counseling, investigations and disciplinary issues as appropriate. Provide follow-through to ensure a resolution, if applicable.
- Maintains compliance with federal, and state regulations concerning employment.
- Assist employees and applicants with human resources information and interpretation of company policies, procedures, systems, and processes.
- Processes, audits and submits employee changes such new hires, increases, promotions, transfers, etc. for union and non-inion employees and communicates changes to the appropriate departments as needed.
- Submits all personnel action form (PAFs) changes to Payroll Manager on a timely basis and communicates specific circumstances as needed.
- Assist with tasks involved with the employee benefits plan including: leaves of absences, FMLA administration, 401K Plan, Health Insurance, Dental Insurance, Life Insurance, Short Term Disability, Long Term Disability, Retirement, and other benefits as needed.
- Follows through with all unemployment claims by checking the FL DOE website and submitting information on all cases; Take part in providing documentation and handle court hearings when necessary.
- Have a general understanding of the Collective Bargaining Agreement.
- Coordinates with Vice President of Health & Safety or the Health & Safety Administrator for all related Worker's Compensation injury claims to provide employee information as needed.
- Coordinate the sourcing and recruiting activities; execute recruitment plans by aggressively recruiting for well-qualified candidates from a variety of sources; utilize traditional recruitment techniques such as direct sourcing, assist with pre-screening applicants, interviewing & relationship recruiting with organizations & universities.
- Assist and/or submits records for annual audits, including State audit of employee records, ERISA/401k ND testing, ACA Forms 1094c & 1095c, DBPR, Workers Comp plus others.
- Performs other duties as required and assist with special projects as needed.
Qualifications

Requirements:
- 3 years minimum in HR Generalist or progressive HR roles required.
- Ideal experience would include Generalist duties and staffing/recruiting responsibilities.
- BS in human resources or a similar field or equivalent education and experience.
- Must be fluent in both English and Spanish and able to translate documents in both languages very well.
- Knowledge of Federal and Florida employment laws including ERISA, FMLA, ADA, DOL (especially wage & hour laws).
- Prior Employee and/or Labor Relations experience.
- PHR/SHRM-CP certification or willingness to acquire it within first year on the job.
- Proficiency with MS Office and information systems are critical.
- ADP Workforce Now (WFN) Experience Preferred.
- Strong interpersonal and communication skills, and the ability to work effectively with all levels of the organization, individually and in groups.
- Demonstrated ability to resolve conflict and mediate as needed.
- Demonstrated ability to multi-task and balance numerous priorities in a fast paced, deadline-oriented environment.
- Able to coordinate and keep track of multiple activities at the same time without making errors.
- Ability to work independently, highly organized and know how to deal with ambiguity is critical.
