Description : Position Summary
The Development Operations Manager is responsible for the general administration and the integrity of the Development database, and department administration and financial reporting. The Development Operations Manager serves as the primary development team member with knowledge of and accountability for Tessitura, including but not limited to expertise in building and running reports, lists and extractions to support a variety of fundraising activities through the stewardship of data. Works in close collaboration with the Annual Fund Manager and the Prospect Development Specialist, as well as Finance and IT departments. Primary Duties and Responsibilities
1. Gift Processing and Administration (40%)
- Create, maintain, and document department policies and procedures for donor tracking and gift accounting in alignment with the Guthrie’s Gift Acceptance Policy.
- Supervise and execute the accurate and timely processing, recording, and acknowledgement of gifts and pledges in Tessitura, including managing payment plans, recurring payments, pledge reminders, invoices, and year end statements.
- Support database needs for all financial transactions and reporting related to events, individual giving, grants, sponsorships, and donor recognition.
- Stay informed on IRS rules related to nonprofit giving, including Donor-Advised Funds, IRA contributions, and tangible benefits.
2. Department Operations and Reporting (40%)
Supports supervisor as a liaison to Finance on areas of mutual concern including reports, deposits, annual audits, reconciliation, and accurate gift crediting and receipt procedures.Track contributed revenue for annual fund efforts and major campaigns; generate regular production reports and provide analysis leading to strategic planning using all available analytic tools.Partner with supervisor to monitor income and expense budgets on a regular basis, including tracking monthly over / under reports and reconciliation.Assist with coding and processing of invoices, credit card bills, and employee reimbursements as needed.Oversee the continuity of department materials (pledge forms, acknowledgments, gift entry form).3. Database Management (10%)
Responsible for the general administration and integrity of the Development portion of Tessitura in collaboration with the IT department.Leads database implementation of donor benefits and activities in Tessitura premiums, promotions and membership in collaboration with team members and other departments (IT, Box Office).Update and maintain the accuracy and currency of records according to accepted standards, periodically assessing the “health” of the database.Collaborate with team members to optimize use of database and reports, including tracking expenses related to events and direct mail in CRM, and assistance with special projects.Actively stay current on best practices and standards for data management; stay informed on new and innovative tools in Tessitura that can help streamline or create efficiencies.4. Administration (10%)
Update and maintain policies and procedures manual and database procedures manual for the Development Department.Monitor office supplies, outgoing mail, and general office cleanliness with assistance as needed.Support special events and individual giving work as needed.Contribute to new and ongoing staff education in Tessitura usage as well as provide detailed, project-specific training.Requirements :
Essential Knowledge and Qualifications
Three to five years of experience in accounting, finance, ITS, data entry or similar work preferred.Applicable CRM database experience or a combination of equivalent experience and training.Strong organizational, analytical and critical thinking skills.Proficiency in Microsoft Office® products, specifically Word, Excel, and Outlook.Knowledge of Tessitura preferred.Experience in nonprofit gift administration and financial reportingCapability to collaborate or work independently to set priorities and manage multiple projects, within and outside the department.Strong project management skills with the ability to multi-task and prioritize.Excellent written and verbal communication skills and interpersonal skills.Ability to use good judgment and maintain confidentiality, ensuring theater patrons’ privacy.Must be willing and able to work flexible hours / days, including occasional evenings and weekends, reflective of the dynamic schedule of the theater.Experience with and commitment to working with individuals and teams that exemplify diversity of identity, experience, and perspective, including but not limited to race, color, gender, gender identity, gender expression, age, family and / or marital status, creed, religion, ancestry, disability, national origin, sexual orientation or sexual identity, veteran status, genetic information, pregnancy, body size / type, status with regard to public assistance or any other basis protected by federal, state or local law.WHY SHOULD I APPLY?
