What are the responsibilities and job description for the Assistant Registrar position at Gwynedd Mercy University?
SUMMARY:
The Assistant Registrar will be responsible for organizing the master course schedule. The Assistant will facilitate the flow of communications from the Registrar’s Office in the form of reports. Assumes responsibility for the office in the absence of Registrar and Senior Associate Registrar.
ESSENTIAL DUTIES AND RESPONSIBILITES include the following. Other duties may be assigned.
- Systematically (Fall, Spring, Summer) prepares data for distribution to academic deans/chairs to configure the master course schedule for upcoming semester. Process section schedule changes.
- Creates section schedule for Non-Term, Dual Enrollment and Acadeum (GmercyU students taking Acadeum courses) in Colleague.
- Formats and uploads section schedule to the Registrar’s page on the University Portal as changes are made to the Course Schedule by the various Schools.
- Schedules and monitors all classroom usage including the scheduling of all classroom space for academic and works with representative from Physical Plant to schedule non-academic events.
- Responsible for tracking and monitoring student attendance for students in Term programs and coordinating with faculty in reporting absences, no shows or registration irregularities.
- Processes Course and University withdrawals for all students.
- Provides input to the Registrar regarding the need for classroom furniture and equipment in preparation for the annual budget process.
- Responsible for generating and posting the Fall and Spring Semester Exam Schedule.
- Point person for the registration of all Dual Enrollment students and Archdiocesan Scholars scholars.
- Greets and aids students, potential students, staff and visitors to the University as necessary.
- Adheres to AACRAO, FERPA and other federal regulations regarding students' records and privacy.

Education and Experience
Bachelor's degree or four years of experience in Registrar’s Office, records management, or Academic Setting. Demonstrated competence with electronic systems is essential; Experience with student data bases preferred.
Language Skills
Ability to write and speak English clearly and concisely when communicating with students, faculty, administration and members outside the Gwynedd Mercy community is essential.
Mathematical Skill
Ability to compute grade point average and full-time equivalency essential. Thorough knowledge of decimals, percentages, ratios, mean, median and proportions required. Ability to extrapolate and organize data.
Reasoning Skills
Ability to apply principles of logical and scientific thinking to a range of intellectual and practical problems. Ability to comprehend nonverbal symbolism (formulas, scientific equations, graphs, etc.).
Ability to acquire enhanced skills as new technology is introduced.
Interpersonal Skills
Ability to interact effectively and professionally with others. Ability to manage staff to achieve departmental goals.
Technical Skills
Proficient in the use of Microsoft Word and Excel. Ability to utilize the Internet for information and communications. Ability to down-load reports and files.
