POSITION OVERVIEW
The Human Resources Information System (HRIS) Administrator will be responsible for managing, maintaining, and optimizing the HR technology infrastructure to support the organization's HR operations and strategic initiatives, with a particular focus on collaborating with the payroll department to ensure seamless integration of HR and payroll systems.
DUTIES AND RESPONSIBILITIES :
- Administer and maintain the HRIS, ensuring data accuracy, system integrity, and efficient functionality
- Configure and customize the HRIS to meet organizational needs and support HR processes
- Analyze vendor interface requirements and maintain queries to support outputs
- Collaborate closely with the payroll department to :
Ensure accurate and timely transfer of data between HR and payroll systems
Implement and maintain integrations between HRIS and payroll softwareTroubleshoot any discrepancies or issues related to HR data affecting payroll processingProvide technical support for employment documents, including :Managing electronic document storage and retrieval systems within the HRIS
Ensuring proper integration of document management features with other HRIS modulesTroubleshooting issues related to document generation, storage, and accessImplementing and maintaining electronic signature capabilities for employment documentsAssisting in the creation and modification of document templates within the HRIS and FilemakerAssist with state reporting requirements :Compile and prepare HR data for various state reports
Ensure data accuracy and completeness for reporting purposesCollaborate with relevant departments to gather necessary informationProvide technical assistance in generating and formatting reports as neededSupport FOIA request responses :Extract and compile relevant HR data in response to FOIA requests
Ensure data privacy and confidentiality in accordance with legal requirementsProvide technical assistance in preparing data for FOIA responsesCollaborate with public relations and legal departments on FOIA-related mattersDevelop and maintain system documentation, including user guides and standard operating procedures for document management processesProvide technical support and troubleshooting for HRIS users, resolving issues in a timely mannerConduct system testing and quality assurance checks to ensure proper functionalityManage user access and security for local database systems and coordinate with system DBA for the main HR / Payroll systemGenerate and analyze HR reports and metrics to support decision-making, including payroll-related reportsCollaborate with IT, payroll, and other departments to integrate HRIS with other systems and applicationsTrain employees on HRIS functionality and best practicesStay current with HRIS updates and new features, implementing improvements as needed, especially those affecting payroll processesAssist in the evaluation and implementation of new HR technologies and system enhancements, considering payroll requirementsEnsure compliance with data privacy regulations and company policies, particularly regarding sensitive payroll dataJOB REQUIREMENTS : Required
Bachelor's degree preferred in Human Resources, Information Technology, or a related field; equivalent education and experience will also be considered in lieu of a bachelor's degree.3 years of experience administering HRIS or similar HR technologies preferredProficiency with Munis and Filemaker preferred and an understanding of relational database designStrong understanding of HR data management and reporting processesExperience with data extraction, analysis, and report generationStrong analytical and problem-solving skillsStrong understanding of payroll processes and how they integrate with HRISExperience with payroll systems and softwareStrong analytical and problem-solving skillsExcellent attention to detail and data accuracyProficient in select SQL queries and data manipulation in ExcelKnowledge of HR processes and best practicesAbility to manage multiple projects and priorities effectivelyPreferred
Experience in a public K-12 school divisionStrong understanding of payroll processes and how they integrate with HRISExperience with data migration and system integration projects, particularly between HR and payroll systemsUnderstanding of relevant labor laws and regulations affecting human resources and payrollKnowledge of state reporting requirements and FOIA processesSkills
