H2C is seeking an Administrative Assistant to provide administrative support to the Issues Management organization. This role requires strong multitasking skills, proficiency in Microsoft Office, and the ability to manage communications with senior leadership, customers, stakeholders, and Hanford Contractors.
The Administrative Assistant's responsibilities include but are not limited to the following:
Maintain calendars, schedule meetings, and coordinate the department or manager's interface with other personnel, company organizations, clients and external groups;
Prepare travel and training requests; make and confirm travel and other arrangements for conferences and business trips; compile expense reports and requests reimbursement for expenditures as appropriate;
Provide continuous effort to improve office operations and streamline work processes, and works cooperatively and jointly with all levels of management and staff to provide quality customer service;
Order and maintain supplies for department or project;
Coordinate office moves, hardware orders, and key requests for the Facilities organization;
Act as point-of-contact for conference room scheduling;
Compose, prepare and type a variety of correspondence, memos, reports and other materials;
Plans, initiates and coordinates activities between department(s) and outside representatives for the purposes of improving workflow, ordering supplies, or providing a specific service or information.
Attends meetings and handles meeting notes/minutes.
Prioritize conflicting needs; handle matters expeditiously, manage multiple tasks and responsibilities with competing deadlines
Evaluates flow of work and applicable procedures within the department.
Provides leadership, and serves as a resident expert, regarding clerical and administrative support processes and controls.
Receive and screen visitors and telephone calls, providing information and handling issues that may require sensitivity and the use of sound independent judgement;
Use initiative and judgment during manager's absence to see that matters requiring attention are referred to delegated authority or handled in a timely manner to minimize the effect of the manager's absence;
Advance knowledge and application of departmental and company policies, and procedures and the ability to exercise a wide-latitude of personal judgment while maintaining sensitivity of confidential business or personal information
Required Qualifications
Grade 05:
High school diploma and 5 years of relevant work experience or an equivalent combination of education, training and experience.
Grade 06:
High school diploma and 8 years of relevant work experience or an equivalent combination of education, training and experience.
Note the essential duties for this grade level are like that of the previous grade level, however the scope of responsibility is larger, and the expected level of performance is increased.
Grade 07:
High school diploma and 10 years of relevant work experience or an equivalent combination of education, training and experience.
Note the essential duties for this grade level are like that of the previous grade level, however the scope of responsibility is larger, and the expected level of performance is increased.
Desired Qualifications
Proficient in Microsoft Office Suite and Adobe Acrobat.
Excellent written and verbal communication skills.
Compensation & Benefits
In accordance with the company's philosophy on compensation for exempt and salaried non-exempt employees, H2C takes into consideration a variety of factors when determining initial grade and salary to include assigned job scope and responsibility, a candidate's qualifications as compared to internal comparators performing in a similar role, and the external labor market. A salary offer will be made at the appropriate grade level and within the targeted hiring range posted according to these factors. Note a candidate's prior salary history will not be taken into consideration.
Hiring Range Minimum: $48,600
Hiring Range Maximum: $74,175
