JOB DESCRIPTION
POSITION TITLE: Bookkeeper/Leave Secretary
REPORTS TO: Principal
WORK DAYS: 230 days per year
PAY FREQUENCY: Monthly
SALARY SCHEDULE: Local Salary Schedule

LOCATION: Harris County School District
PRIMARY FUNCTION: Maintain financial transactions and records and keep an accurate account of all activity funds using the systems required by the Harris County Board of Education, making it possible to trace all funds from their source, to the bank and to the vendor, with documentation.
REQUIRED QUALIFICATIONS:
Minimum Education:
High school diploma (or GED or High School Equivalence Certificate)
Minimum Experience:
Minimum of three years financial or bookkeeping experience

ESSENTIAL DUTIES AND TASKS:
- Demonstrates prompt and regular attendance
- Exhibits professionalism
- Follows all county, state, and federal policies and procedures
- Follows professional ethics in all work-related activities
- Manages multiple tasks independently with frequent interruptions
- Assists with mail distribution, phone calls and school meeting and event schedules and communications as needed
- Maintains an updated listing of who to contact in case of emergencies in the schools
- Promotes positive relationships and communicates responsibly with all school personnel, central office staff members, parents and the general public by assisting whenever needed
- Assists with student registration as needed
- Utilizes student information system to access information as needed
- Maintains employee and substitute attendance information through online platform
- Manages sick/annual leave reporting for school staff
- Submits accurate school staff leave data to the District's System Bookkeeper monthly
- Collects funds from students, parents, staff, community organizations, individuals and student support organizations; collects funds for school clubs; processes all school money and prepares deposits; posts all receipts and disbursements to the local school accounting program
- Processes funds collected for special events; ensures all required documentation is completed for special events
- Ensures prepared deposits are properly secured in the primary school safe; follows procedures and processes for required documentation regarding primary school safe
- Performs daily verification of deposits and disbursements to the school’s bank account
- Verifies vendor invoices and resolves discrepancies and ensures invoices are paid in accordance with the terms of payment
- Reconciles online student activity accounts monthly
- Processes approved purchase order transactions; processes all approved orders, including online orders and helps distribute materials upon arrival
- Balances budgeted accounts monthly to ensure correctness of the accounts
- Requests budget transfers as needed and submit for supervisor approval
- Assists principal with budget development
- Maintains all financial transactions and records in accordance with the HCBOE School Financial Guidelines, State and Local Chart of Accounts, and Online Financial Bookkeeper modules
- Performs other duties as assigned
POSITION TYPE AND EXPECTED HOURS OF WORK:
This is a full-time position. 8-hour school days, generally Monday through Friday, 7:45 am to 3:45 pm. Occasional evening and weekend work may be required as job duties demand.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit for extended periods of time; stand; walk; use hands, handle or feel; and reach with hands and arms. Routine physical activities required to fulfill job responsibilities; able to lift a maximum of 20 pounds; spend time making repetitive motions, spend time sitting.
