Duties and Responsibilities:
- Supervises Maintenance Service Clerks who handle service requests, ensuring that all calls for service are documented accurately and that appropriate responses are initiated. Ensure proper documentation and proof of pesticide compliance, maintenance, and inspections, in accordance with industry standards and regulatory requirements. Provide guidance and assume the responsibilities of Maintenance Service Clerks in their absence to ensure uninterrupted operations.
- Creates and maintain nightly schedules for preventive maintenance activities, coordinating with contractors and internal teams to ensure timely execution of tasks. Develop and oversee the monthly coordination assignments and progress, reviewing all reports to ensure alignment with department goals and timelines. Ensure that maintenance personnel and contractors are deployed efficiently to address service requests and maintenance needs.
- Monitors and analyze utility bills, maintaining a detailed report that tracks consumption trends, identifies cost-saving opportunities, and quickly detects issues like leaks or usage spikes for prompt resolution.
- Leads maintenance coordination efforts during high-profile events, managing both critical and non-critical service calls. Use communication tools such as radios, phones, and computers to log calls, dispatch field units, and ensure that maintenance issues are addressed promptly. Ensure timely responses and mobilization of crews, vehicles, and field units during high-pressure situations
- Oversees the creation, review, and management of maintenance reports, ensuring accuracy and completeness in all documentation. Maintain compliance with all safety and environmental regulations, ensuring that all reports are properly filed and accessible for audits or inspections.

High School diploma or equivalent from an accredited institution.
A minimum of five (5) year supervisory experience in general office setting, along with dispatcher/coordinator or phone operator.
Knowledge, Skills, and Abilities:
- Proficient in analyzing utility data, identifying trends, and making data-driven recommendations to control costs.
- Calm and decisive under pressure, with strong communication skills in high-stress situations.
- Capable of building and maintaining effective working relationships in a diverse environment.
- Accurate in recording information, documenting actions, and ensuring data completeness.
- Excellent verbal and written communication skills for clear, concise collaboration.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills, attention to detail, and ability to manage multiple tasks.
- Skilled in solving routine problems using established guidelines and procedures.
- Ability to lead, motivate, and develop a team effectively.
- Ability to efficiently manage time and prioritize tasks for both self and team.
Sedentary work requires the exertion of up to 10 pounds of force occasionally, and minimal force frequently or constantly to move objects, including the human body. This role primarily involves sitting, with walking and standing required only occasionally, following standard sedentary work criteria.

Full-time position with typical hours Monday through Friday, and weekends as needed. May work either morning or afternoon shifts. Emergency situations may require additional hours.
This position is considered essential personnel and is subject to being held over or working extra shifts as needed during times of emergency, declared disasters, or as needed to support critical business functions and to provide services for the benefit of the public while other governmental office could be or are closed.
Work Environment:
Primarily office-based with potential exposure to inclement weather or temperature changes. May be required to work before, during, or after severe weather events, with possible hazardous travel conditions, such as high water.
