Job Summary:
Provide administrative and clerical support to the Director of CLDE to include administration of CLDE budgets. Must be bilingual in English/Spanish (proficient in reading, writing, and speaking). Serves as a liaison to community agencies specific to CLDE. Provides quality customer service to families and staff. Adheres to district, state and federal CLDE compliance.
Essential Duties and Responsibilities:
Provide support to CLDE Director in managing funds to various budget accounts. Process budget requests. Track and monitor expenditures for the department and various grants. Order curriculum, materials and office supplies. Prepare and submit requisitions for office supplies and materials.
Data input into district/state student management system (SMS) and maintain records of district’s Multilingual student population. Records include Home Language Identification Forms (HLID), Online Registration (OLR), assessments, parent interviews, parent letter of notification, and other pertinent documents. Collect migrant documents for BOCES.
Work closely with other departments when enrolling out of country students.
Translate written materials for the department or parents as needed.
Provide Spanish/English oral communications for the department, parents and the community over the telephone and in person. Interpret (for parents) school, district and state policies and regulations to include information regarding student lunches, health and transportation.
Screening the HLID/online registration and conduct parent interviews during student intake for identification, testing, and placement of services.
Update district SMS and database to include redesignation, rollover (annually) and registration of new students.
Provide notification to schools and staff of new CLDE enrollees and any other pertinent information.
Schedule appointments and/or conferences, answer telephone calls and refer calls to appropriate staff member. Distribute interoffice mail.
Prepare, proof and review documents, records and forms for accuracy, completeness, and conformance to department, district and state or federal government policies and regulations.
Create adhoc reports in SMS and be able to provide monthly statistical and other data for inclusion in reports required by the district, state and federal government. Provide information updates to district staff and CLDE Director.
Maintain supplies/learning materials in office, file room functionality (preparing, maintaining and purging files).
Perform other duties as assigned.
Education, Training and Experience:
High school diploma or equivalent (required). Associate’s Degree or higher (preferred).
3-5 years clerical experience (school setting with diverse populations preferred).
Work Keys (if no higher education degree).
Criminal background check required for hire.
Skills, Knowledge and Equipment:
Excellent customer service skills.
Possess strong writing and communication skills.
Knowledge of Microsoft Word, Excel, and other computer programs.
Ability to file alphabetically, numerically or by subject.
Oral and written communication skills in English and Spanish required at hire.
Ability to learn specialized software programs.
Typing skill of 50 WPM.
Ability to promote and follow District Policies and building and department procedures; communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds and recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.
