Overview :
We are seeking a highly organized and experienced Payroll / Benefits Specialist to oversee all aspects of our bi-weekly payroll process, including benefits administration. The ideal candidate will be responsible for ensuring accurate, compliant, and timely payroll processing for both corporate and operational locations. This is a key role in our team, where attention to detail, proactive problem-solving, and excellent communication skills are critical.
Fluency in Spanish is a must for this position.
Key Responsibilities :
- Oversee and manage the complete payroll process, including reviewing hourly timesheets, processing employee updates (new hires, status changes, pay rate adjustments), and distributing payroll checks.
- Ensure accurate and timely processing of payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions.
- Administer and oversee employee health and welfare benefits, 401(k), leave of absence (LOA) programs, and other employee-related benefits, ensuring proper deductions and contributions through the payroll system.
- Maintain compliance with federal, state, and local labor laws, including overtime rules, paid sick leave, employee tips, bonuses, and final wages.
- Ensure timely reporting for compliance purposes, including ACA reporting, Form 5500, and non-discrimination testing reports.
- Respond to employee inquiries regarding payroll, benefits, self-service login assistance, direct deposits, wage statements, W-2s, and other related concerns.
- Work directly with vendors, including HRIS / payroll systems, benefits brokers, and other external partners to ensure smooth operations.
- Perform audits of current payroll processes and identify areas for improvement, making recommendations for enhancements.
- Maintain accurate payroll records and reports to support ad-hoc management analysis and decision-making.
- Handle the administration of leave programs, including paid sick leave, tax credits, and other employee leave-related issues.
