What are the responsibilities and job description for the PROJECT COORDINATOR position at Hatzel & Buehler Inc?
The Project Coordinator position will support and assist the Project Managers / Team with coordination of assigned projects throughout the life of the project. They will work with the Project Analyst & Managers and along with the Project Admin to achieve on time and on or under budget completions while maintaining the established company quality standards. Day to day activities will primarily involve the implementation of a project, organizing, record-keeping, and handling the information flow between the Project Managers, Field & Customers utilizing ERP & CRM software and portals.
Key Responsibilities:
- Coordination: Coordinate all items between estimating, project management, and field operations to ensure seamless project execution and communication.
- Document Management: Prepare, manage, and track all necessary documents throughout the project lifecycle, from initiation through to closeout, ensuring accuracy and compliance.
- Meeting Attendance: Attend project meetings and create detailed meeting minutes, capturing key discussions and action items.
- PlanGrid Management: Create and manage PlanGrid projects, ensuring all relevant project information is accurately uploaded and maintained.
- System Utilization: Utilize and maintain all construction management systems used by H&B and customers, ensuring effective and efficient use of these tools.
- RFI and Submittal Management: Assist with the preparation, logging, and management of Requests for Information (RFIs) and Submittals, tracking updates and ensuring timely responses.
- Specification Changes: Document and update all changes to specifications, job scope, and drawings in Spectrum, Job Folders, and PlanGrid to ensure consistency and accuracy.
- Drawing Management: Print, copy, and scan drawings for the project team as needed, ensuring all team members have access to the most current project information.
- Close-Out Documentation: Prepare close-out documentation in collaboration with the project team, ensuring all project records are complete and properly filed.
- Customer Service: Work with the project management team to provide exceptional customer service, acting as a liaison between the field, vendors, and customers to address any issues or concerns.
- Process Improvement: Assist with the development and implementation of forms, documents, processes, procedures, and construction management software, apps, and portals, contributing to continuous improvement in project management practices.
Qualifications:
- Experience: Previous experience in a project coordination or administrative role within the construction industry is preferred, with a solid understanding of project management processes and documentation.
- 100% in person position. Must reside locally or relocate to area
- Skills: Excellent organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively. Strong communication and interpersonal skills.
- Technical Knowledge: Proficiency with construction management software (e.g., PlanGrid, Spectrum) and Microsoft Office Suite (Excel, Word, Outlook). Familiarity with RFIs and Submittals processes is a plus.
- Education: Associate’s or Bachelor’s degree in Construction Management, Project Management, Business Administration, or a related field is preferred.
