The Role
We’re looking for a highly proactive, emotionally intelligent, and detail-driven Executive Assistant to serve as the right hand to their CEO. This isn’t just about scheduling meetings—it’s about creating order from chaos, anticipating needs before they arise, and ensuring their CEO stays focused on what only she can do. You’ll act as a gatekeeper, project manager, and strategic partner, ensuring seamless execution of priorities while protecting her time and energy.
What You’ll Do
Executive Support
- Own and optimize the CEO’s calendar—prioritizing, scheduling, and ensuring alignment with top priorities.
- Provide daily briefings with key updates, action items, and reminders to keep things moving.
- Track commitments and ensure follow-through on deadlines, communications, and deliverables.
- Draft, proofread, and manage high-level correspondence on behalf of the CEO.
Project Management & Systems
- Coordinate and drive forward CEO-initiated projects, ensuring accountability and timely execution.
- Develop and refine systems for tracking tasks, communication, and documentation.
- Keep a pulse on the CEO’s vision, ensuring operational alignment through structured updates.
- Identify roadblocks before they arise—proactively offering solutions without needing to be asked.
Communication & Relationship Management
- Act as a protective filter—fielding incoming requests and ensuring the CEO’s time is used strategically.
- Professionally liaise with internal teams, external partners, and key stakeholders.
- Maintain strict confidentiality and discretion at all times.
Who You Are
- 5 years of experience in executive support, project coordination, or operations (experience in healthcare, education, or nonprofit sectors is a plus).
- A master of organization and time management—you juggle competing priorities with ease.
- An exceptional communicator—concise, clear, and professional in every interaction.
- Highly emotionally intelligent, able to anticipate needs and navigate fast-moving environments.
- Comfortable with ambiguity and change, thriving in a dynamic, high-expectation culture.
- Tech-savvy, with experience in Microsoft Teams, SharePoint, and project management tools (preferred).
