Job Summary: We are seeking a highly organized and professional Functional Office Receptionist to join our team. As a receptionist, you will be the first point of contact for our company, providing exceptional customer service to visitors and clients. You will play a crucial role in ensuring smooth office operations and creating a positive and welcoming atmosphere. This is an ON-SITE JOB!
Responsibilities:
- Greet and welcome visitors in a friendly and professional manner.
- Answer and direct phone calls, take messages, and handle inquiries promptly and efficiently.
- Maintain a clean and organized reception area, ensuring it is well-stocked with necessary supplies.
- Manage incoming and outgoing mail, packages, and deliveries.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Provide general administrative and clerical support to various departments as needed.
- Maintain office security by following procedures, monitoring the visitor logbook, and issuing visitor badges.
- Assist with the preparation of documents, reports, and presentations.
- Coordinate travel arrangements and accommodations for employees and guests when necessary.
- Collaborate with other team members to ensure efficient office operations.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Proven experience as a receptionist or in a similar role.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to build rapport with diverse individuals.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Exceptional organizational and multitasking abilities.
- Attention to detail and accuracy.
- Ability to handle sensitive and confidential information with integrity.
- Professional appearance and demeanor.
- Ability to work independently with minimal supervision and as part of a team.
