What are the responsibilities and job description for the Administrative Leasing Specialist position at Hekemian & Co., Inc.?
Hekemian & Co., Inc., a property management firm with a headquarters office located in Hackensack NJ, is seeking to fill a full time administrative leasing specialist position who will work Mondays through Fridays during the office hours of 9am to 5pm.
The administrative leasing specialist is responsible to:
- Collect and process all necessary documentation to generate leases for new renters at multiple residential communities.
- Perform all the required data entry in the applicable programs (including MRI and On-Site) for new leases and renewal leases.
- Process the requests of tenants from multiple properties for early terminations, lease extensions, transfers, renters insurance documentation, on line payment instructions, and occupant changes.
- Respond to both phone and email apartment inquiries and assist in setting up visits by apartment prospects to multiple properties where on-site leasing staff will give tours.
- Update excel worksheets used to summarize leasing activity and prioritize where apartment pricing and promotions need adjustment.
- Perform both accurate and proper electronic filing and hard copy filing of tenant leasing information.
- Prepare for and communicate at weekly departmental meetings which address pricing, promotions, training, work flow improvement, technology advances, and problem solving.
- From time to time meet with tenants who visit the Hekemian central office, and listening to them/advising them as necessary.
- Coordinate with rental assistance programs and requirements where applicable.
The administrative leasing specialist must be:
- Accurate and fast with keyboarding data entry.
- Experienced with using Excel for both collecting and evaluating data.
- Abundantly clear in his/her use of English in both phone and direct in person communication.
- Able to generate, categorize, file, retrieve email communications efficiently.
- Successful in achieving a NJ Real Estate Sales Person license within one year of hire.
Preferable capabilities and experience:
- Demonstrated excellence in customer service.
- A history of successful employment working on a team.
- Knowledge of the apartment leasing process.
- Bi-lingual
