Overview
The Receptionist & Administrative Assistant position is responsible for processing all incoming calls, greeting walk-in customers & guests as well as providing comprehensive administrative support to the office team. The position will require a strong knowledge of MS Office (Outlook, Word, Excel) as well as learning the basics of the company’s enterprise project management software. All candidates must be able to speak English fluently, have a high degree of professionalism and be courteous and polite.
Duties
- Greet customers and guests and accompany them to one of the office conference rooms. Notify staff of visitor’s arrival.
- Become familiar with Company scripts for answering and forwarding calls. This position is one of the primary points-of-contact for customers and all calls and personal interactions will require the highest degree of etiquette.
- Manage incoming and outgoing mail.
- Oversee monitoring office supply inventory and ordering office supplies.
- Assist the Director of Operations with agendas, permit submittals, scheduling client meetings and performing other administrative tasks.
- Assist the Project Manager with scheduling subcontractors, suppliers, deliveries, and jobsite meetings.
- Assist the Financial Coordinator with monthly credit card reports and inventory reconciliations.
- Assist the Purchasing & Scheduling Manager with calling vendors on updated pricing and delivery dates for materials.
- Maintain a company call log and prepare a monthly call log report for the Director of Operations and General Manager.
- Other administrative duties as assigned.
Experience
- High School diploma or equivalent.
- Exceptional communication skills in English. Spanish a plus.
- Excellent customer relation skills to handle inquiries, complaints and requests professionally.
- Excellent organizational skills and ability to multi-task and prioritize tasks accordingly.
- Working knowledge of MS Office including Word, Excel, and PowerPoint.
- Previous experience working for a construction company, architectural or engineering firm preferred.
- Valid driver’s license required.
