JOB TITLE: Substance Use Secretary / Medical Records Clerk
JOB CLASSIFICATION: Support Staff 2
REPORTS TO: Project Supervisor
SUMMARY: Responsible work in providing a variety of skilled typing and clerical assistance in a respectful and dignified manner.
EXAMPLE OF DUTIES & RESPONSIBILITIES:
1. May act as unit receptionist, greeting individuals and directing visitors.
2. Answers unit telephone, directs calls, takes messages, answers questions or schedules appointments.
3. Performs typing, filing, completion of reports and other clerical functions for unit staff.
4. Operates office equipment including computer.
5. Computes various statistical reports.
6. Mails and records individuals follow-up questionnaires.
7. Participate in case utilization review and closes records.
8. Responsible for the storage, control and protection of consumer records.
9. Assist with coordination of care when requested.
10. Inputs individuals' information in the ASAIS system or other state mandated reporting system.
11. Assist in maintaining individual contact regarding missed appointments, rescheduling appointments and meeting the needs of the individuals that receive services.
12. Completes MIDAS intakes and carries out payments for Court Referral Education Classes.
13. Arranges folders and other necessary documentation required to carry out Court Referral Education Classes.
14. Assists with management of waitlist for services.
15. Completes all other tasks assigned by Immediate Supervisor or Administration.
DESIRED KNOWLEDGE, SKILLS AND ABILITIES:
1. Knowledge of office practices, procedures and equipment.
2. Knowledge of English, spelling and arithmetic.
3. Must be able to work well with staff and individuals in a courtesy, respectful and dignified manner.
4. Ability to make decisions in accordance with prescribed procedures.
5. Ability to read and follow written and oral instructions.
6. Ability to work as a team member.
7. Must demonstrate the ability to work well with staff and individuals in a polite, respectful and dignified manner.
QUALIFICATIONS:
- Typing skills with a typing speed of at least 55 words per minute.
- High School Diploma or G.E.D.
- Experience and secretarial school preferred.
