Highlife Recovery is seeking a highly organized Secretary to support the CEO with daily office operations. The ideal candidate will manage the executive’s schedule, assist with documentation, and maintain confidentiality in handling sensitive matters. Strong multitasking ability and discretion are key to this role.
Responsibilities
- Manage the CEO's calendar, appointments, and travel arrangements.
- Assist with organizing and prioritizing emails, documentation, and reports.
- Prepare and proofread outgoing communications and documentation.
- Schedule and organize meetings, take notes, and track follow-up actions.
- Maintain filing systems and manage administrative tasks.
- Provide support to other departments and staff as needed.
- Communicate clearly and professionally, both in writing and verbally.
- Ensure tasks are completed efficiently and deadlines are met.
Skills and Knowledge
- Strong written and verbal communication skills.
- Ability to prioritize and manage the executive’s schedule effectively.
- Proficiency with office software and computers.
- Professional, empathetic, and collaborative.
- Ability to proactively resolve issues and support the CEO/Medical Director.
Qualifications
- 2-3 years of office experience, preferably supporting an executive.
- Strong organizational skills with attention to detail.
- Relevant experience; certifications are a plus.
- Ability to act independently, prioritize tasks, and manage multiple assignments.
Job Type: Full-time
Pay: $16.00 - $23.00 per hour
