As an Executive Support Associate, you will provide direct support to the CEO on a daily basis.

We are seeking a highly organized and detail-oriented Executive Support Specialist and Bookkeeper to work alongside the executive team, providing administrative and financial support. This role combines executive assistance with bookkeeping responsibilities, including maintaining financial records, reviewing the organization’s financial outlook, and managing accounts payable and receivable. The ideal candidate will have strong communication skills, efficient with QuickBooks Online, and the ability to manage multiple priorities with professionalism and discretion.
Key Responsibilities
Executive Support
• Work closely with the executive team to provide operational and administrative support.
• Collaborate with executives to review financial outlooks and current financial performance.
• Prepare reports, presentations, and materials for executive meetings and strategic planning.
• Manage executive calendars, schedule meetings, and coordinate travel arrangements.
• Handle email correspondence, draft memos, and respond to inquiries on behalf of the executive team.
• Maintain confidentiality and handle sensitive information with discretion. Bookkeeping and Financial Management
• Utilize QuickBooks Online to manage financial transactions and ensure accurate record-keeping.
• Oversee accounts payable (AP) and accounts receivable (AR) processes, including invoicing, payments, and collections.
• Generate financial reports, including profit and loss statements, cash flow projections, and balance sheets.
• Assist with budgeting, forecasting, and financial planning processes.
• Monitor financial compliance and deadlines, ensuring timely execution of all financial obligations.
• Respond to vendor and client inquiries regarding invoices and payments.
• Support special projects, events, or initiatives as assigned by the executive team.
Qualifications: • Education: Bachelor’s degree in Accounting, Business Administration, or a related field (preferred).
Experience: • 3 years of experience in bookkeeping and/or executive support roles.
• Proficiency in QuickBooks Online and Microsoft Office Suite (Excel, Word, Outlook).
• Strong attention to detail and a high level of accuracy in financial tasks.
• Excellent organizational and time-management skills, with the ability to prioritize and manage multiple tasks.
• Effective communication skills, both written and verbal.
• Ability to work independently, maintain confidentiality, and exercise sound judgment.
