Technical Proctor Coordinator

Job Description :

Maintain knowledge of diversity-related issues, legislation, and best practices

Maintain and process budget and purchase order information

Provide roving proctor duties to various campus locations

Identify the student / candidate with proper identification per vendor requirements

Monitor user's access to testing lab computers

Administer and proctor ALL assessments with integrity and adhere to compliance regulations

Works closely with ALL campus locations proctors to ensure all labs are functioning effectively to administer "Fair Testing" compliance

Provide guidance and implementation of processes for Workkeys assessment and all other vendor, proctor, MSVCC proctoring data reporting

Provide training and guidance for all other campus proctor team

GENERAL STATEMENT OF THE FUNCTION

QUALIFICATIONS REQUIREMENTS

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Roving proctor duties; must have adequate driving transportation, valid state driver's license and satisfactory driving record must be maintained to be able to support of ALL Testing Coordinators various locations.

EDUCATION AND / OR EXPERIENCE

Qualifications :

  • Bachelor of Science : B.S. or Bachelor of Arts B.A. (degree or higher preferred).
  • Previous experience in administrative support, technical support, or exam proctoring is a plus.
  • Strong organizational skills with the ability to multitask and prioritize responsibilities.
  • Excellent communication skills, both written and verbal.
  • Efficient with basic office software (e.g., Microsoft Office Suite) and troubleshooting common technical issues.
  • Attention to detail and the ability to work independently in a fast-paced environment.
  • Professionalism, reliability, and the ability to maintain confidentiality and integrity
  • ESSENTIAL DUTIES AND RESPONSIBILITIES , include the following. Other duties may be assigned

  • Provide guidance, logistics of scheduling and implementation of processes for Workkeys assessment and all other vendor, proctor, MSVCC proctoring data reporting
  • Maintain and process budget and purchase order information
  • Monitor / Proctor user's access to testing lab computers

  • Monitor user's access to testing lab computers
  • Administer and proctor ALL assessments with integrity and adhere to compliance regulations
  • Provide a fair testing environment for students / candidates
  • Provide excellent customer service to students, candidates, and colleagues
  • Ensure that All and Any user does not load any software on lab computers that are not approved by the Hinds IT
  • Assist in the identification and procurement of various assessment instruments
  • Participate in industry assessment and planning of assessment events
  • Provide scheduling of All assessments offered
  • Initiate budget purchase request
  • Receipt all budget request items as inventory
  • Assist Test Coordinator with maintaining up-to date calendar of Assessment Center Team time off and events
  • Proactively schedule ACT dates yearly
  • Schedule All testing / assessment appointments per phone call on the Outlook calendar
  • Update all testing handouts
  • Prepare items for National ACT also coping and mailing required documents to National ACT
  • Coordinate with marketing dept. to update website for Assessment Center changes
  • Assist with inventory for ALL testing items
  • Reconcile the Workkeys test for reporting purposes
  • Aid in supervising students during exams to ensure adherence to testing protocols and prevent cheating.
  • Distribute, collect, and organize exam materials efficiently.
  • Maintain a calm, quiet, and controlled testing environment.
  • Address student inquiries and troubleshoot issues during exams while maintaining exam integrity
  • Report any incidents or irregularities to appropriate personnel.
  • Provide general administrative support, including answering phones, responding to emails, and handling correspondence
  • Organize and maintain files, records, and documents for easy access and retrieval.
  • Schedule meetings, manage calendars, and coordinate appointments for staff or leadership.
  • Assist with the preparation of reports, presentations, and other documentation as needed.
  • Help with event planning, logistics, and coordination of office activities.
  • Provide basic IT support to staff, students, and faculty, troubleshooting software and hardware issues
  • Ensure all office equipment (printers, copiers, projectors) is functioning properly and coordinate repairs or replacements as necessary.
  • Manage technical inventories, including tracking and ordering supplies or equipment when needed
  • Take credit card payments for testing purposes and process end-of-day procedures
  • Other duties may be assigned
  • Proctor as necessary for some evening and Saturday as required
