Job Summary : The Administrative Coordinator will play a crucial role in ensuring the smooth and efficient operation of our office. This position requires a detail-oriented individual with excellent organizational and communication skills. The ideal candidate will be responsible for a variety of administrative tasks and office coordination duties to support our team and enhance productivity.
Key Responsibilities :
Administrative Support :
Manage schedules, management meetings, and travel arrangements for field employees, as needed.
Maintain and update various data in numerous software systems such as Avetta, CSC and Site Tracker
Input and track hotel information for field employees in RDB
Prepare and edit correspondence, reports, and presentations
Maintain, monitor and track licensing, municipal registrations, permits and bonds for the organization
Handle incoming and outgoing communications, including phone calls, emails, and mail
Maintain and organize office files, records, and documents
Office Coordination :
Oversee office supplies inventory and place orders as needed for corporate office and wireline sites
Coordinate office maintenance and repairs with vendors and service providers
Ensure the office environment is clean, organized, and welcoming
Assist in planning and organizing company events, meetings, and conferences
Team Collaboration :
Support various departments with administrative tasks and projects
Collaborate with team members to improve office processes and workflows
Qualifications :
High school diploma or equivalent; associate or bachelor's degree preferred
Proven experience as an administrative assistant, office coordinator, or similar role
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Excellent organizational and time management skills
Strong written and verbal communication skills
Ability to multitask and prioritize tasks effectively
Professional and friendly attitude with a customer service-oriented mindset
