Job Summary : The Administrative Coordinator will play a crucial role in ensuring the smooth and efficient operation of our office. This position requires a detail-oriented individual with excellent organizational and communication skills. The ideal candidate will be responsible for a variety of administrative tasks and office coordination duties to support our team and enhance productivity.

Key Responsibilities :

  • Administrative Support :

Manage schedules, management meetings, and travel arrangements for field employees, as needed.

  • Maintain and update various data in numerous software systems such as Avetta, CSC and Site Tracker
  • Input and track hotel information for field employees in RDB
  • Prepare and edit correspondence, reports, and presentations
  • Maintain, monitor and track licensing, municipal registrations, permits and bonds for the organization
  • Handle incoming and outgoing communications, including phone calls, emails, and mail
  • Maintain and organize office files, records, and documents
  • Office Coordination :
  • Oversee office supplies inventory and place orders as needed for corporate office and wireline sites

  • Coordinate office maintenance and repairs with vendors and service providers
  • Ensure the office environment is clean, organized, and welcoming
  • Assist in planning and organizing company events, meetings, and conferences
  • Team Collaboration :
  • Support various departments with administrative tasks and projects

  • Collaborate with team members to improve office processes and workflows
  • Qualifications :

  • High school diploma or equivalent; associate or bachelor's degree preferred
  • Proven experience as an administrative assistant, office coordinator, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to multitask and prioritize tasks effectively
  • Professional and friendly attitude with a customer service-oriented mindset
