JOB SUMMARY
The Office Manager 2 plays a vital role in advancing HISD’s transformational goals by ensuring the efficient, organized, and high-functioning operation of central and school-based offices. This position supports the district’s high-performance culture by managing fast-paced administrative functions with precision, urgency, and professionalism. As part of an elite support team, the Office Manager 2 enables staff and school leaders to focus on student achievement by coordinating logistics, managing resources, and maintaining operational excellence in a dynamic and demanding environment.
MAJOR DUTIES & RESPONSIBILITIES
1. Lead and coordinate daily office operations to ensure a smooth, responsive, and efficient administrative environment aligned with the district’s mission.
2. Manage office logistics, including inventory and procurement of supplies, equipment maintenance, and facilities support.
3. Assist with budget monitoring and expense tracking, ensuring adherence to financial guidelines and promoting fiscal responsibility.
4. Plan and coordinate meetings, conferences, and events, including scheduling, travel logistics, and vendor coordination.
5 Oversee internal communication systems, ensuring timely, accurate, and professional handling of emails, calls, and correspondence.
6. Support onboarding and orientation for new hires by preparing workstations, materials, and logistical needs to ensure a seamless start.
7. Maintain accurate and confidential employee records, including attendance, leave tracking, and performance documentation.
8. Assist with HR-related functions such as scheduling interviews, processing forms, and supporting employee engagement initiatives.

9. Collaborate with IT to ensure smooth operation of all office technology and coordinate technical support as needed.
10 Prepare reports, presentations, and documentation that meet district standards for quality, accuracy, and formatting.
11. Promote a professional and collaborative office culture by planning team-building activities and fostering positive staff interactions.
12. Serve as a frontline resource for internal and external stakeholders, ensuring courteous and solutions-oriented service.
13. Stay informed on best practices in office management and recommend process improvements to support ongoing efficiency.
14. Work with a sense of urgency, manage time effectively, and consistently meet deadlines in a high-expectations environment.
15. Perform other duties as assigned in alignment with HISD’s commitment to service, accountability, and student success.
EDUCATION
High School Diploma or GED, bachelor’s degree Preferred
WORK EXPERIENCE
1-3 years proven experience in an administrative role, preferably in an office setting.
SKILL AND/OR REQUIRED LICENSING/CERTIFICATION
Proven experience in an administrative or office support role, with strong organizational and multitasking abilities.
Proficiency in using office software, including word processing, spreadsheet, and presentation tools.
Excellent verbal and written communication skills, with a customer-service-oriented approach.
Strong attention to detail and accuracy in completing tasks.
Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Professional demeanor and ability to maintain confidentiality.
Strong interpersonal skills, with the ability to interact effectively with employees, visitors, and external stakeholders.
Knowledge of office management principles and procedures.
Familiarity with basic HR processes and procedures is desirable.
Ability to adapt to changing priorities and handle unexpected situations.
Positive attitude and willingness to contribute to a positive work environment.
LEADERSHIP RESPONSIBILITIES
No supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice and training to staff.
WORK COMPLEXITY/INDEPENDENT JUDGMENT
Work and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision.

Follows rules and procedures. Decisions can have minimal or no impact to HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction.
COMMUNICATION/INTERACTIONS
Basic communication - very little communication required such as receiving basic instructions. Interactions are mostly with customers, own supervisor, and co-workers in own department.
CUSTOMER RELATIONSHIPS
Follows through with customer inquiries, requests, and complaints. Forwards difficult and non-routine inquiries or requests to appropriate level for resolution.
WORKING/ENVIRONMENTAL CONDITIONS
Work is normally performed in a typical interior work environment, which does not subject the employee to any hazardous or unpleasant elements.
- Valid Texas driver’s license with applicable insurance coverage.
- Tools/Equipment Used: Standard office equipment, including personal computer and peripherals
