Job Summary
The Administrative Assistant is responsible for providing administrative support to the safety manager and the safety team. This position will help maintain accurate records and documentation related to Safety, Environmental, and Mine Production. These documents and records include safety inspections, incident reports, training sessions, and other related activities.
Key Responsibilities/ Essential Functions
- Assist in the preparation and distribution of materials, reports, and presentations.
- Collaborate with the Safety Manager to implement and enforce safety policies, procedures, and guidelines across the organization.
- Assist in conducting regular safety inspections, audits, and risk assessments to identify potential hazards and ensure compliance with regulatory standards.
- Coordinate safety training programs for employees and facilitate safety meetings as required.
- Compile and organize safety, environmental, and mine production data and statistics to generate reports and analyze trends.
- Assist in developing strategies to improve performance based on data analysis and feedback.
- Serve as a point of contact for employees regarding safety-related inquiries, concerns, and reporting of incidents.
- Coordinate with various departments to ensure the timely implementation of safety initiatives and the resolution of safety-related issues.
- Facilitate communication between the Managers and external stakeholders, such as regulatory agencies, vendors, and contractors.
- Participate in safety committee meetings and contribute ideas for enhancing safety protocols and practices.
- Stay updated on industry best practices, regulatory requirements, and emerging trends.
- Proven experience in administrative support roles, preferably in a safety or environmental related environment.
- Familiarity with safety regulations, standards, and procedures (e.g., OSHA, EPA).
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with safety management software is a plus.
- Attention to detail and a proactive approach to problem-solving.
- Certification in occupational health and safety (e.g., OSHA 30-Hour General Industry) is desirable but not required.
