The Home Builders Association of Tennessee (HBAT) is a not-for-profit, 3,000-member trade association comprised of professional builders, developers and associated firms engaged directly or indirectly in homebuilding, remodeling, and light commercial construction. Established in 1960, the HBAT has 11 local associations across the state. The HBAT, along with our locals, are also members of the National Association of Home Builders (NAHB). HBAT’s role is to support our affiliate associations throughout the state of Tennessee, be the voice for the housing industry at the state level and act as a liaison between the local and national organizations.
The Executive Assistant will oversee the day-to-day operations of the Home Builders Association of Tennessee (HBAT) to ensure the organization operates efficiently and effectively. The role will involve strategic planning to achieve the association goals, operations management, managing administrative functions, coordinating events and meetings, member services, government relations activities, managing accounts payable and receivable, administrative support to HBAT committees and councils, and perform other duties assigned by the CEO.
Operations Management:
- Executes a variety of day-to-day office operations tasks including tracking all incoming and outgoing financial transactions and records management using Quickbooks Online.
- Provides administrative support with scheduling meetings, taking minutes, fundraising efforts and other tasks requested for HBAT committees/councils and communications as directed by the CEO.
- Implement and update bylaws and operational policies and procedures.
- Manage office resources, supplies, and budgetary allocations.
- Assist in the development of the annual budget, strategic planning process to define operational goals, updates to the bylaws, policies, and procedures.
- Oversee accounts payable and receivable processes and maintain accurate financial records.
- Participate in the strategic planning process to define the operational goals of the association.
- Analyze operational data and trends to identify areas for improvement.
Meeting and Event Management:
- Directs the coordination of all HBAT meeting logistics and activities.
- Works with local HBA Executive Officers to ensure attendance of HBAT Directors and Local Presidents at state board meetings and events.
- Plan, organize, and execute various association events, including conferences, workshops, and networking gathering.
- Monitor event budgets, logistics, and promotional efforts to maximize participation.
Membership:
- Manages and tracks membership information for the database, online membership directory, and other software programs.
- Assist local associations with recruitment and retention efforts for local associations.
- Monitors and maintains database tracking the RCE credits earned by licensed contractors and send CE certificates.
- Process membership applications, renewals, and payments.
- Serve as the primary point of contact for members, addressing inquiries and operational issues.
- Coordinate training and educational opportunities for members, ensuring alignment with industry standards.
Government Affairs:
- Research and monitors government activities that could affect the association and members.
- Introduces legislative and public policy changes.
Supervisory Responsibilities:
- May oversee and manage contract employees and an intern.
Performs other duties as assigned by the CEO.
Qualifications:
- Bachelor’s degree or minimum of 5 years of experience in operations management, preferably within a non-profit or trade association environment.
- An organized detail-oriented individual with exceptional multitasking skills and problem-solving skills.
- Quick analytical thinker, able to effectively monitor, synthesize, translate, and summarize complex topics.
- Ability to work independently and as part of a team proactively in a deadline-oriented environment.
- Flexibility to adapt to changing priorities and extended hours during events.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office Suite and other relevant software with strong technical skills.
- Quickbooks Online experience.
Location: Downtown Nashville
Salary Range: Based on experience.
