We are seeking skilled and dedicated Executive Assistant to support the C-Suite. Under the direction of the CEO and CHRO, the Executive Assistant will work provide administrative duties, work independently, have a proactive approach to anticipate and meet leadership and company needs. The Executive Assistant will have constant exposure to confidential and/or sensitive information requiring high level of discretion, considerable use of professional decorum and judgment.
Location: Mendota Heights, MN
Schedule: This is a full-time, salaried, exempt role. The schedule to will be Monday-Friday during business hours but may be expected to work outside of these hours, if needed. Exact schedules will be determined during the interview process and may include weekends.
Job Duties Include, But Are Not Limited To:
- Provides administrative support including (but not limited to) maintaining schedules and calendars, preparing communications, filing, meeting and conference coordination, ordering supplies, and submitting expenses.
- Drafts correspondence, reports, and forms. Demonstrates effective profesional sensitivity in titles and names and superior usage of grammar, formatting and identifying errors.
- Provides administrative support for in-person and virtual meetings: must have knowledge in audio conferences, video conferences, and other technology, as needed. Responsible for all meeting logistics including agendas, meeting materials, action items, and catering, if required.
- Manage and oversee the corporate office for efficiency. Order supplies, ensure office is tidy, and coordinate with building management for any needs.
- Performs a wide variety of non-routine administrative tasks and supports projects or tasks. Gathers, compiles, and reports on information relevant to assignments.
- Identifies issues and uses effective problem-solving techniques and discretion in managing a variety of situations. Independently identifies reasonable alternatives and recommends alternative approaches to C-Suite.
Education/Licensure/Certification/Experience Requirements
1. Must have a high school diploma. BA/BS strongly preferred.
2. Must have at least 3 years of relevent experience working in an administrative setting.
3. Ability to pass a background check.
4. Must have strong professional, interpersonal skills to confidently manage confidential information.
5. Strong communication and organizational skills.
6. Ability to work collaboratively
7. Ethical awareness and commitment to company and patient confidentiality.
8. Willingness to learn and adapt to changing company needs and approaches.
