What are the responsibilities and job description for the Office Support Specialist position at Hospice Foundation Of Greater Baton Rouge?
JOB FUNCTIONS:
- Welcoming guests and direct them to the individual they are meeting/visiting.
- Keep a positive attitude. Keep this organizations mission at the forefront of decisions.
- Maintain professionalism in all interactions with staff, patients, families and remember you are a representative of this organization.
- Answer phones promptly and professionally.
- Receive, direct and relay telephone messages.
- Serves visitors, vendors, and families by greeting, welcoming, and directing them appropriately and notifies company personnel of visitor arrival.
- Assure HIPAA compliance with all visitors, vendors and guests.
- Maintains safe and clean receptionist area by complying with procedures, rules, and regulations.
- Maintains continuity amongst employees/staff members.
- Direct THBR patients, their families, vendors, referral sources and the general public to the appropriate staff member.
- Responsible for ordering office supplies.
- Cross Train with Supply Admin to be familiar with ordering medical supplies.
- Make packets for student nurses and copies of employee applications.
- Keep log for PT&R machine for Clinical Department.
- Provide office support services in order to ensure efficiency and effectiveness within THBR organization.
- Open mail, received date stamped, and distribute to appropriate staff member.
- Perform any additional duties assigned by Supervisor or CEO.
EDUCATION:
- High school or GED diploma; college experience desirable
WORK EXPERIENCE:
- Computer skills including Windows and Word.
- Background in medical terminology desirable.
SPECIAL SKILLS:
- Ability to organize efficiently and establish priorities for work
- Ability to handle stressful and delicate situations with tact, diplomacy, attention to their importance, and understanding of responsibility involved
- Knowledge in hospice care desirable
REQUIREMENTS:
- Must have good communication skills and techniques with facilities, patients, families, office staff, and physicians.
