Howe Electric Construction, Inc. seeks a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have strong computer literacy, exceptional attention to detail, and the ability to take comprehensive meeting notes. While experience in construction-related fields is preferred, it is not required. This role is pivotal in supporting daily operations and ensuring the smooth flow of administrative tasks.
Education and Experience
- High school diploma or equivalent; associate or bachelor’s degree in a related field is preferred.
- Minimum of 2 years of experience in an administrative or support role.
Skills
The candidate must demonstrate the following skills:
- Proficiency in computer applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Excellent organizational skills with a strong ability to multitask and prioritize tasks effectively.
- Exceptional attention to detail and a commitment to producing high-quality work.
- Proven experience in taking and formatting comprehensive meeting notes.
- Strong written and verbal communication skills.
- Ability to work independently as well as collaboratively within a team.
- Experience in construction or related industries is a plus but not required.
- A proactive approach to problem-solving and a strong sense of responsibility.
Responsibilities
The candidate will be responsible for providing support to the company’s Design team, Preconstruction team, Estimating team, Project Managers, Executives, and Administrative Coordinator through various activities. These activities include, but are not limited to the following:
- Fulfill receptionist duties when required.
- Scheduling meetings, writing correspondence, and document preparation.
- Accurately record and distribute detailed meeting notes, action items, and follow-up tasks.
- Maintain and organize digital and physical files, ensuring easy accessibility and compliance with company policies.
- Utilize various software applications to prepare reports, spreadsheets, presentations, and other documentation.
- Assist with tracking project timelines, budgets, and deliverables, particularly in relation to construction or operational tasks.
- Act as a point of contact for internal and external stakeholders, ensuring prompt and professional communication.
- Handle data entry and ensure the accuracy of information across multiple systems.
- Support team members with procurement, logistics, and scheduling needs.
- Perform other administrative tasks assigned to ensure the team operates efficiently.
