Huber Equity Group is seeking a highly organized and professional Executive Assistant to directly support our CEO. This role is focused on providing high-level administrative and operational support to ensure the CEO’s productivity and effectiveness. Key Responsibilities:
Administrative Support:
- Manage the CEO’s calendar, appointments, and travel arrangements.
- Serve as the primary liaison between the CEO and internal/external stakeholders, ensuring efficient communication and discretion.
- Prepare and organize documents, reports, and presentations.
- Handle complex travel arrangements, including itineraries, transportation, and accommodations.
- Handle personal errands or administrative tasks for the CEO, such as scheduling personal appointments or managing family-related logistics.
Expense Management:
- Process and reconcile expense reports for the CEO
Meeting Coordination:
- Plan and coordinate quarterly meetings, including logistics and materials.
- Take detailed notes during meetings, track action items, and ensure timely follow-up.
- Update and maintain records in 90io, tracking progress on goals and key initiatives.
Task and Time Management:
- Track and prioritize action items and commitments to enhance the CEO’s productivity.
- Anticipate the CEO’s needs and proactively address challenges.
Office Management Support:
- Order and maintain office supplies for the executive or department.
- Coordinate with vendors for office equipment or facility-related needs.
- Maintain a comprehensive filing system for easy retrieval of documents and records.
- Ensure key documents are updated, including contracts, policies, and reports.
Event Planning:
- Assist with internal and external events, such as team-building activities, executive off-sites, internal celebrations, etc..
- Handle invitations, RSVPs, catering, and venue logistics for CEO-hosted events.
Information Management:
- Organize and maintain digital files for easy access to key documents.
- Conduct research and prepare summaries or briefs as requested by the CEO.
Specialized CEO Support:
- Assist with scheduling and coordinating external engagements, including podcasts or other events.
- Act as a gatekeeper to protect the CEO’s time and ensure priorities are met.
- Act as a bridge between the CEO and the broader team, ensuring clear communication of directives.
- Create visuals for properties and equity raises.
- Create and execute Mailchimp marketing campaigns for property listings and equity raises.
- Assist in Deal Deck creations for each property.
- Create and manage content schedules for the CEO’s LinkedIn page and the Huber Equity Group’s social media platforms.
- Draft and schedule LinkedIn posts aligned with the CEO’s voice and company messaging.
- Track and report all marketing data.

Qualifications:
- Bachelor’s degree or equivalent experience, preferably with a marketing background.
- 3 years in an executive assistant or similar role.
- Proficiency in Microsoft Office Suite.
- Strong organizational, time management, and prioritization skills.

Compensation:
- Salary based on experience
