Position Overview:
The Executive Assistant (EA) to the CEO is a highly skilled, strategic partner responsible for delivering seamless, white-glove support in a fast-paced, high-expectation environment. This role demands exceptional foresight, precision, and agility to anticipate needs, resolve issues proactively, and ensure the CEO’s time and priorities are optimized.
With a demanding travel schedule (~180 days per year), the EA must be proactive, adaptable, and accessible 24/7, managing real-time changes, mitigating risks before they escalate, and maintaining uncompromising efficiency in daily operations.
Key Responsibilities
1. Executive Support & Strategic Planning
- Serve as the chief gatekeeper and primary point of contact, filtering requests and prioritizing high-impact matters.
- Anticipate the CEO’s needs and proactively remove obstacles before they arise.
- Ensure 100% accuracy in calendar management, flawlessly scheduling and executing meetings, calls, and events.
- Provide real-time support and rapid responses, handling last-minute changes with composure and precision.
- Draft, review, and edit high-level correspondence, ensuring professional, polished communication.
- Identify opportunities to streamline operations, optimizing processes within the CEO’s office.
- Plan, coordinate, and execute executive events (meetings, workshops, corporate gatherings), managing vendors, contracts, and budgets while serving as the primary point of contact.
2. High-Stakes Travel & Logistics Management
- Manage complex, multi-leg international travel itineraries, ensuring seamless transitions between locations.
- Anticipate and resolve travel disruptions in real time, including last-minute schedule shifts and unexpected challenges.
- Arrange all accommodations, transportation, visas, security clearances, and VIP access with concierge-level precision.
- Expertise in private jet coordination, including charter management, route optimization, and ground transfers.
- Proficiency in Concur and other travel expense management platforms, ensuring accurate bookings and reimbursements.
3. Crisis Management & Rapid Problem-Solving
- Operate with a sense of urgency, handling high-pressure situations with confidence.
- Make executive-level decisions when necessary, exercising sound judgment and discretion.
- Proactively identify risks and implement solutions before issues escalate.
4. Confidentiality & High-Profile Engagements
- Manage highly sensitive business and personal information with absolute discretion.
- Navigate board-level relationships, investor communications, and high-profile engagements with professionalism.
- Ensure seamless integration of the CEO’s professional and personal preferences into daily operations.
Qualifications & Requirements
- 10 years of experience supporting C-suite executives in a fast-paced, global environment.
- Extreme attention to detail, anticipatory thinking, and the ability to always be three steps ahead.
- 24/7 availability, including weekends and late nights, to accommodate the CEO’s demanding schedule.
- Proven expertise in high-stakes international travel planning with shifting itineraries.
- Exceptional business communication skills, with the ability to draft polished executive correspondence.
- Tech-savvy and resourceful, with proficiency in Microsoft Office, Google Suite, expense reporting tools, and global travel platforms.
- High emotional intelligence (EQ) and adaptability—able to navigate complex interpersonal dynamics with ease.
