Title: Executive Assistant to CEO

Location: In Person - Cambridge, MA

Compensation: $400.00 Weekly

Commitment: Start as soon as possible

About I'RAISE:

I'RAISE Girls & Boys International Corporation, founded in 2012 in the North Bronx, began as a mentoring program for at-risk youth in NYC. Under the leadership of CEO Shanequa Moore, the organization has evolved into a powerful force for equity in mental health and youth empowerment. Today, I'RAISE delivers culturally responsive programs that foster resilience and well-being for children and families.

Position Summary:

We are looking for an Executive Assistant to our Chief Executive Officer (CEO) at I’RAISE Girls & Boys International Corporation, a non-profit organization that provides services to youth to set their future up for success. This is a high level job and should not be confused with the Administrative Assistant role. The Executive Assistant will work closely with the CEO and assist them. The Executive Assistant will have a similar goal and vision that aligns with the CEO so that there is mutual understanding with what the organization is looking to achieve.

As an Executive assistant to the CEO, you are:

  • Being an expert scheduling: Managing CEO’s calendar; coordinating and scheduling meetings. Ensuring the CEO’s calendar schedule is coordinated adequately - no overlap in meetings and being proactive and finding solutions when scheduling conflicts occur. Providing helpful reminders of important meets, deadlines and events that the CEO must attend. And ensuring that the CEO is prepared with all the right documents and information they will need for the meeting.
  • Expected to attend every meeting with the CEO, early and in a timely manner, being the minute person, and taking notes and doing debrief of the meetings to the CEO; being able to explain what happened in the meeting and able to share pertinent information.
  • Being consistent in attendance and matching work schedule with the CEO’s work schedule; able to adjust to unforeseen circumstances and shifting changes.
  • Assisting the CEO on strategic planning, fundraising and financial planning.
  • Assisting the CEO with administrative tasks and projects, meeting deadlines and keeping track of the assignments.
  • Acting as the point of contact among executives, the board of directors, employees, clients, and other external partners - constant interaction..
  • Managing important information flow in a timely and accurate manner
  • Making travel and accommodations arrangements for the CEO, and being knowledgeable about the travel methods that are cost effective and efficient.
  • Formatting information for internal and external communications by writing memos, emails, presentations and reports.
  • Screening and directing phone calls and emails, and distributing correspondence.
  • Once a clear direction is provided, being autonomous and not relying heavily on direct and constant supervision and/or communication from the CEO.
  • Help CEO create systemized processes/procedures to boost organization effectiveness; providing smooth business operations.

Must-have Ideal Qualifications:

  • Associates degree. Bachelors degree preferred.
  • 2 years of work experience as an Administrative Assistant
  • Highly proficient in G-suites and Microsoft Suites
  • Excellent interpersonal skills; verbal and written communication

Training, Professional Growth and Development:

  • CEO will teach the executive assistant how they think in meticulous details. The Executive Assistant should be open to hearing preferences on how work should be done and how the CEO makes decisions. During training the Executive Assistant will document processes as they learn them for future reference which helps them internalize the CEO’s preferences. The Executive Assistant will learn to think like the CEO and how the CEO processes information, learn how to speak and act on the CEO’s behalf and anticipate the needs and preferences of the CEO. This will allow the Executive Assistant to serve as the CEO’s surrogate at meetings and/or events.
