Summary:
Under the supervision of the Receptionist Office Admin Coordinator of Ibero-American Action League, Inc. the Receptionist is responsible for greeting staff and visitors and performs clerical duties.

Responsibilities, Relationships, and Duties:
- Reports to the Receptionist Office Admin Coordinator.
- Works 9 am to 5 pm Monday through Friday
- Establishes and maintains good working relationships with staff, funding sources, related agencies, and other Ibero programs.
- Answers all incoming telephone calls promptly, efficiently, and courteously.
- Routes incoming calls and accurately records and delivers follow-up messages.
- Maintains the reception area clean and organized.
- Greets visitors and clients, ensuring a welcoming atmosphere by monitoring and opening the doors, and directing them to the appropriate staff.
- Provides callers and visitors with information regarding program locations and agency services.
- Provides clerical support to General Management staff, including but not limited to typing, translations, and making copies.
- Safeguards confidential information.
- Maintains a log to record the distribution of checks, or important documents, ensuring recipients sign for accountability and tracking purposes.
- Receives and records all incoming funds from regular mail or various programs.
- Handles incoming and outgoing mail, including sorting, date stamping, FedEx services, postage, and other related tasks.
- Uses email communication to forward messages to staff.
- Attends scheduled staff meetings and other assigned events.
- Performs other duties as assigned by the direct supervisor.
Qualifications:
- Bilingual (Spanish & English) required
- High School Diploma or GED
- One year of secretarial/front desk experience.
- Pleasant, respectful manners while relating to the public are a must.
- Ability to complete standard and complete clerical tasks.
- Proficiency in the use of various types of office equipment including computers, software, copy machines, etc.
