Accounting Specialist
TITLE: Accounting Specialist I
DATE: January 2025
CLASSIFICATION: Full-time, Non-Exempt
REPORTS TO: Accounting Manager
PRIMARY FUNCTION
The Accounting Specialist I is responsible for ensuring accurate and timely processing of accounts payable, cash applications, daily banking, and expense report transactions. This role also supports other accounting operations and special projects as needed.
DUTIES AND RESPONSIBILITIES
Accounts Payable
- Process and post inventory and non-inventory invoices for payment.
- Prepare and submit state and city sales tax payments.
- Process and post employee expense reports.
- Prepare and execute weekly accounts payable check runs.
- Handle vendor applications and W-9 requests.
- Reconcile vendor statements and resolve discrepancies.
- Prepare and post journal entries.
- Organize and file invoices, forms, and reports.
- Manage miscellaneous accounts payable transactions.
Accounts Receivable
- Process daily accounts receivable cash postings.
- Manage adjustments from credit.
- File invoices and maintain organized records.
Miscellaneous
- Administer Cooperative Advertising (CO-OP) accounting tasks.
- Contribute to special projects as assigned.
- Update written procedures to reflect operational changes.
- Perform other duties and tasks as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
- Experience: 12 years in a high-volume accounts payable and accounts receivable role. Familiarity with standard accounting principles, practices, and procedures.
- Detail-Oriented: Strong accuracy and attention to detail.
- Adaptability: Ability to work effectively in a dynamic, fast-paced environment.
- Technical Skills: Proficiency in MS Excel, Word, and Outlook.
- Communication: Excellent verbal and written communication skills, with a focus on follow-through and problem resolution.
- Organizational Skills: Ability to prioritize, multi-task, and meet deadlines under pressure, including working overtime if necessary.
- Teamwork: Demonstrated ability to collaborate in a team setting and work independently as needed.
- Problem Solving: Skilled at investigating and resolving issues, reconciling accounts, and ensuring compliance with company policies and procedures.
- Analytical Abilities: Capable of analyzing accounts, reviewing records for accuracy, and maintaining organized filing systems.
EDUCATIONAL REQUIREMENTS
- High school diploma or equivalent required.
