Job Description

As an integral part of the Advancement Division team, the Executive Assistant has direct responsibility for carrying out the administrative management and technical duties required by the Idaho State University Foundation. The incumbent is responsible for a wide range of complex and confidential administrative and operational functions. These responsibilities include high-volume communication and interaction with Foundation Board leadership and members, necessitating exposure to, and having the authority to handle sensitive information. The position carries substantial responsibility and requires a broad range of skills and the ability to exercise considerable judgment and discretion, initiative, and independence. Interacts frequently with University administration, business leaders, current and prospective donors, and with other senior-level university officials and their constituents, requiring precise and timely action and communication.

This position requires occasional evening and weekend work to support Advancement and Foundation related work and events after normal business hours.

Key Responsibilities

1. Prioritize and manage scheduling for the Idaho State University Foundation Board and Committee Meetings.
2. Manage logistics for meetings, events, and possible travel for the Foundation.
Compile meeting materials including meeting minutes, track action items, prepare briefings, presentations, and reports.
3. Prepare correspondence and other materials on behalf of the Foundation.
4. Support the Vice President in staffing Foundation Board Committees.
5. Support Foundation policy and procedure maintenance.
6. Facilitate responses to concerns brought to the Idaho State University Foundation.
7. Partner with the Advancement Executive Assistant to support Foundation activities, the Foundation Board in the relationship with the Vice President for Advancement and other University and Advancement leaders and serve as a backup to the Advancement Executive Assistant as needed.
8. Manage special projects and perform other duties as assigned.


Sample of Frequent Duties

Administrative Support:
  • Schedule appointments, meetings, and events for Foundation Board and the Director
  • Maintain calendars for the Foundation Board and the Director in coordination with Advancement and University leadership schedules
  • Route for signature all Fund agreements once prepared and approved by the Director and donors.

Minimum Qualifications

  • Bachelor’s degree from an accredited university (In lieu of a Bachelor’s Degree, a minimum six years combined education, training, and experience may be considered)
  • 2 years of related experience in comparable executive support positions
  • Experience with meeting management and minute taking
  • Strong information technology and computer skills, including extensive working knowledge of Microsoft Office, Google Suite, and the ability to learn new programs and software

Preferred Qualifications
  • Experience performing the related duties and responsibilities in supporting a Foundation board, working at an institution of higher education, or similarly complex organization
  • Demonstrated ability to organize, plan, and manage complex logistics
  • Demonstrated interpersonal skills, including the ability to communicate verbally and in writing to a level appropriate for executive interactions
  • Proven ability to work independently and under pressure while maintaining a highly professional demeanor
  • Experience with Financial records
  • Ability to work flexibly as part of a collaborative team to achieve goals
  • Able to adapt to changing situations and priorities
  • Experience working with confidential records and data and exercising discretion
  • Understanding of board governance and related legal standards for boards with fiduciary oversight roles
  • Valid driver’s license and ability to drive and operate a motor vehicle and be insured as an employee of Idaho State University

Additional Information

Salary will be between $50,000 - $55,000 per year, commensurate with education and experience.
