Position Title : Service Center Office Administrator

Location : Dallas, TX

Reports To : Service Center General Manager

Position Purpose :

The Service Center Office Administrator provides professional administrative support to the Service Center management team, ensuring efficient organization and coordination of office operations and procedures.

Key Responsibilities :

  • Provide administrative support for the Service Center office, including answering the main office line, distributing mail / packages, and replenishing office supplies.
  • Coordinate office visits for customers and internal personnel.
  • Manage meeting room and office assignments.
  • Coordinate internal communications and prepare presentation materials for meetings.
  • Schedule and plan meetings, business lunches / dinners, and travel; maintain updated calendars.
  • Ensure meetings are properly organized, including AV equipment, travel arrangements, and distribution of related materials.
  • Perform documentation tasks such as drafting, editing, and finalizing correspondence and reports.
  • Communicate staffing needs to temporary staffing agencies and provide orientation for temporary employees.
  • Collaborate with HR to propose and deliver training and development for production employees.
  • Lead employee engagement initiatives, including committees and shift round table meetings.
  • Oversee reporting for payroll, timekeeping, and invoicing for temporary staffing and suppliers.
  • Maintain office efficiency by managing inventory and implementing office processes to minimize errors.

Qualifications :

  • High school diploma / GED required.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word), Adobe Pro, and Visio.
  • 2 years of office administration experience, preferably in a manufacturing environment.
  • Payroll experience preferred.
  • Skills and Competencies :

  • Strong attention to detail and accuracy.
  • Excellent planning, organizational, and time-management skills.
  • Effective written and verbal communication skills.
  • Ability to manage multiple high-priority projects and meet deadlines.
  • Adaptability, initiative, and a team-oriented approach.
  • Knowledge of SharePoint preferred.

  • Managing urgent requests across multiple time zones.

  • External : Customers and vendors / suppliers.
