What You’ll Do
As an Executive Business Partner at Imagine Pediatrics, you are responsible for providing proactive administrative and project support to assigned executive leaders and their teams. Your support responsibilities will include but are not limited to:
- Strategic Scheduling and Calendar Management: Coordinate and manage complex schedules, including meetings, events, and travel arrangements. Prioritize appointments to ensure alignment with leadership’s top priorities.
- Executive Communication: Support Draft, proofread, and manage correspondence on behalf of executives. Facilitate communication between the executive leadership team (ELT) and internal/external stakeholders
- Meeting and Event Coordination: Plan and organize meetings, including preparation of agendas, materials, and follow-up actions. Coordinate logistics for executive events, conferences, and off-site meetings.
- Travel and Logistics Coordination: Arrange travel, including transportation, accommodations, and itineraries. Manage expenses and ensure adherence to expense policies.
- Administrative Support: Perform day-to-day administrative tasks such as filing, document management, and office organization. Provide support with technology and office systems to enhance operational efficiency
- Task and Project Prioritization: Identify and prioritize tasks based on the urgency and importance of leadership’s top priorities. Proactively address and resolve issues to maintain focus on transformative outcomes.
- Executive Preparation and Support: Prepare executives for meetings, presentations, and public speaking engagements. Conduct research and provide briefing materials to ensure well-informed decision-making.
- Project Management Assistance: Track project milestones and deliverables, providing status updates and reminders. Assist in the coordination of cross-functional projects and initiatives.
- Confidential and Sensitive Information: Handling Handle confidential information with discretion and integrity. Ensure secure management of sensitive documents and communications.
What You Bring & How You Qualify

- 2-5 years of administrative support experience.
- Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- Ability to engage with critical information, maintaining confidentiality.
- Ability to manage a high volume of competing tasks that require urgency/prioritization to complete.
What We Offer (Benefits Perks)
The role offers a base salary range of $70,000 - $80,000 in addition to an annual bonus incentive, competitive company benefits package, and eligibility to participate in an employee equity purchase program (as applicable).
