Position Summary
We are seeking a detail-oriented and highly organized Payroll Manager to join our dynamic team. This position will manage the day to day payroll operations, ensuring timely and accurate payroll and tax processing while also assisting in the administration of the company’s equity compensation plans, and ensuring compliance with various regulatory agencies. The Payroll Manager will be integral in producing an accurate payroll, handling employee inquires, and working closely with the HR and Finance departments.
Responsibilities
Payroll Administration:
- Process semi-monthly payroll for all employees, ensuring accuracy in earnings, deductions, and benefits.
- Review and verify payroll data for discrepancies and resolve any issues promptly.
- Ensure stock option activities are processed and reported timely through payroll.
- Provide excellent customer service when responding to employee inquiries regarding payroll-related questions and discrepancies.
- Prepare payroll journal entries, accrual calculations and account reconciliations related to payroll related activity.
- Lead cross functional projects to scale systems and processes and improve end to end payroll workflows.
- Partner with HR on benefits and leave administration and ensure accurate results
- Coordinate with HR, benefits, and finance teams to ensure seamless integration of payroll with other company systems.
- Assist in the administration of employee equity compensation programs, including stock options, RSUs, ESPPs, and other related equity-based plans.
- Perform other accounting and finance duties as needed.
Compliance & Reporting
- Ensure compliance of the payroll function with internal controls.
- Ensure all payroll and equity plan activities comply with relevant federal, state, and local regulations. Manage the preparation and distribution of employee tax related documents for payroll and equity.
- Assist with audits and provide necessary documentation related to payroll, 401K, workers compensation and equity plans.
- Ensure proper tax registration in new and existing states.
- Review and audit quarterly and annual tax filings prepared by payroll service provider.
- Stay up to date with changes in payroll, tax, and equity compensation regulations to ensure compliance and best practices.
Requirements
- Bachelor’s degree in Accounting, Finance, Human Resources, or relevant experience.
- A minimum of 5 years of payroll experience.
- Strong knowledge of federal, state and local tax regulations and compliance.
Qualifications
- Strong project and process management skills.
- Ability to identify process challenges and develop innovative solutions.
- Knowledge of equity compensation plans and tax implications related to stock options and other equity-based compensation.
- Proficient in payroll and ERP software systems (e.g., ADP, Paylocity, Netsuite or similar) and MS Office Suite (Excel, Word).
- Exceptional attention to detail and organizational skills.
- Strong communication skills, both written and verbal, with the ability to explain complex topics clearly.
- Ability to handle confidential information with discretion.
- Certifications (preferred):
- Certified Payroll Professional (CPP) designation.
- Certified Equity Professional (CEP) designation.
Washington State Pay Range
$92,976 - $116,700 USD
