Impact Living Services is a private non-profit organization specializing in Foster Care, Independent Living and Behavioral Health Services. ILS is seeking a qualified Outpatient Support Specialist to provide administrative support to our growing Outpatient program.
POSITION SUMMARY
The Outpatient Support Specialist works primarily within the OP program in providing operational support. Under the direction of the outpatient directors, serves as the office receptionist; coordinates the flow of operations and communications for counseling offices; performs a variety of confidential and complex secretarial, technical, and administrative functions in support of outpatient counselors and supervisors.
Essential Position Functions:
- Oversee, ensure accuracy of and assist as needed with all office functions, including client relations, check-in/check-out, payment collection and entry, scheduling, insurance verification, answering phones and creation/maintenance/release of clients’ paper and electronic health record, under supervision of Directors.
- Ensures smooth operations and minimizes wait times, improves cycle time/client waiting time and scheduling efficiency
- Acts as client advocate to resolve client inquiries and concerns regarding office functions and services provided. Discusses complex client concerns with Directors, as necessary
- Assists administrative staff in resolution of day-to-day operational challenges and seeks feedback from the team on operations
- Extract, review, interpret insurance EOB’s, charge information, allowed amounts per fee schedule, insurance benefits related to payment & other related information while assisting to resolve and maintain accurate client account balances
- Perform follow-up with clients and insurance companies to collect unpaid balances to significantly reduce/eliminate overdue outstanding balances owed by insurance companies and/or clients and issue refunds when needed
- Accurately post insurance payments, write offs, adjustments to client accounts and be familiar with deductibles, co-pays, co-insurance and out-of-pocket maximums
- Monitor & stock inventory of all office supplies, clinical forms, business cards, etc
- Perform a variety of clerical tasks as needed such as filing, faxing, photocopying, scanning, collating, data entry and maintenance of client files
- Receive, greet, screen phone calls and visitors; receive, screen, sort and route mail; compose replies or handle correspondence independently, as directed.
- Answer telephone inquiries pertaining to routine policies, regulations, and operational procedures or by referring those making inquiries to appropriate offices or personnel.
- Provide detailed and technical information concerning policies and procedures where judgment, knowledge and interpretation of procedures and regulations are required; using independent judgment and initiative, problem-solve, provide service, answer questions, bringing critical or difficult issues to attention of supervisors.
- Schedule and coordinate counseling appointments; book on calendars meetings, events, and appointments for individual counselors.
- Monitor Impact Counseling Website page for accuracy; generate and update website materials, documents, calendars, newsletters, and forms.
- Assist by following up on administrative or clerical detail, which may include contact with members of the community.

SKILLS & ABILITIES
Education: Preferred bachelor's degree from an accredited college or university plus one year of experience in bookkeeping, or equivalent experience.
Experience: One year or more experience in bookkeeping and administration support
Computer Skills: Utilize computer software, to include Electronic Health Record, Human Resource, and Training programs.
