Job Summary:

The Administrative Coordinator provides essential administrative support to the leadership team, ensuring smooth and efficient operations in a dynamic healthcare environment. The Administrative coordinator takes a leadership role in sales, marketing, and recruiting to drive growth in health programs and staffing services. The Administrative Coordinator will play a vital role in promoting wellness programs, building relationships, and identifying new opportunities in the healthcare field.

Success in this role requires strong communication and organizational skills, the ability to multitask, and a proactive, problem-solving approach. Proficiency in office software, professionalism, and a team-oriented attitude are essential to fostering excellent customer and staff relations and contributing to the organization’s mission to deliver high-quality healthcare services.

Key Responsibilities:

Administrative Duties:

  • Manage schedules, calendars, and correspondence for internal departments.
  • Maintain electronic and paper records in an organized and secure manner.
  • Order and manage supplies and marketing materials.
  • Assist in policy development and communication.
  • Answer and triage phone calls, emails, and other inquiries in a professional manner.
  • Respond to inquiries via phone, email, or in-person interactions.
  • Document client and staff interactions in databases.
  • Facilitate meetings, including agenda preparation and minute-taking.
  • Support billing processes and ensure accurate event follow-up.

Program Leadership:

  • Oversee immunization clinics, CPR classes, health screenings, and other wellness initiatives.
  • Coordinate staff scheduling and ensure team readiness for clinics and events.
  • Plan and execute corporate and public wellness programs.
  • Ensure supplies, equipment, and logistical needs are met for all events.
  • Maintain high standards for customer service and staff relations.

Sales & Marketing:

  • Manage and schedule events for corporate accounts, send service agreements.
  • Update the company website to reflect current programs and events.
  • Oversee CRM management (e.g., HubSpot) to optimize marketing and client relations.
  • Implement outreach strategies to expand program participation.

Training Center Administration:

  • Schedule and coordinate CPR classes and certification programs.
  • Monitor instructor performance and ensure compliance with American Heart Association (AHA) guidelines.
  • Manage training site contracts, billing, and audits.

Supportive Staffing & Home Care Coordination:

  • Schedule nursing visits and manage EVV (Electronic Visit Verification) compliance.
  • Assist with staff recruitment and hiring process.

Operations Management:

  • Monitor office and field operations to maintain seamless workflows.
  • Participate in staff training, evaluations, and customer feedback reviews.
  • Uphold safety standards.
Requirements:

Qualifications:·

Strong organizational and multitasking abilities.· Excellent verbal and written communication skills.· Ability to work independently and collaboratively in a team setting.· Experience in healthcare, customer service, or administrative roles preferred.· Sales, marketing, or recruiting experience is a plus.· Associate or bachelor’s degree preferred; equivalent experience considered.· Proven administrative or healthcare program management experience.· Proficiency in Microsoft Office Suite and CRM tools (e.g., HubSpot).· Highly organized with ability to manage various tasks and projects simultaneously.· Expertise in relationship building skills with the ability to collaborate effectively at all levels in the organization.· Ability to handle sensitive and private information with discretion.· Friendly, caring, professional demeanor.
