Overview
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our dynamic team. The ideal candidate will play a crucial role in supporting daily operations, ensuring efficient center management, and providing exceptional customer support. This position requires strong time management skills and the ability to multitask effectively in a fast-paced environment.
- Job Description & Expectations:
- Reception
- Perform reception duties including; answering phones, taking messages, providing information on membership and agency activities
- Distribute membership forms, client characteristic forms, registration forms, etc
- Provide information and assistance to persons' age 60 years and over
- Disseminate information to the public to increase awareness and promote programs
- Direct members to activities in the center
- Take reservations for members requesting lunch and senior center activities
- Prepare and monitor daily sign-in attendance sheets for center activities
- Scan daily attendance for congregate dining service participants
- Administrative Assistance
- Maintain accurate and complete vendor files
- Inventories all office & center supplies and prepares orders
- Provide any support needed on clerical projects assigned by Executive Director
- Assist on any needed clerical projects like mailings, ticket sales, etc
- Data Management
- Assist with completion of the reporting process for senior citizen membership program and other program reports
- Maintain records of current senior center membership in Salesforce
- Maintain current membership cards by dispersing to members, reminding members of renewal policy
- Maintain accurate records of activities in Salesforce
- Program Support
- Provide administrative support to transportation services
- Provide back-up support for food service as needed
- Create initiatives like mail drops in surrounding neighborhoods, mailings to area churches, etc to recruit additional members to the senior center
- Assist Executive Director and Senior Programs Director in researching and planning activities for active senior citizen members
- Volunteer Coordination
- Promote participation and recruit volunteers
- Supervise and direct volunteers as needed
- Duties as assigned
Requirements
- Proven experience in an administrative role or as a personal assistant is preferred.
- Strong organizational skills with an emphasis on attention to detail.
- Excellent time management abilities to prioritize tasks effectively.
- Experience in customer support or client-facing roles is highly desirable.
- Proficient in using standard office equipment and software applications.
- Strong communication skills, both verbal and written.
